Une entreprise d'assurance mondiale recherche un(e) Assistant(e) Personnel Exécutif. Le candidat idéal doit avoir plus de 10 ans d'expérience dans un environnement international, être fluide en anglais, et avoir d'excellentes compétences en communication. Le rôle implique la gestion de l'agenda d'un cadre exécutif, l'organisation de réunions et la coordination logistique. L'entreprise offre un environnement de travail inclusif et valorise la diversité. Ce poste est basé à Paris, Nouvelle-Aquitaine, avec un contrat à durée déterminée de 6 mois.

Qualifications

  • Plus de 10 ans d'expérience dans un environnement international complexe avec des parties prenantes mondiales et locales.
  • Maîtrise de l'anglais (écrit et oral), la maîtrise du français est un plus.
  • Excellentes compétences en communication, tant orale qu'écrite.
  • Capacité à gérer les priorités, compétences en planification et organisation.

Responsabilités

  • Fournir un support personnalisé à un exécutif Excom d'AXA dans ses activités quotidiennes.
  • Gérer l'organisation des réunions, des événements, des déplacements et des tâches administratives.
  • Collaborer avec des collègues à l'international pour organiser des événements complexes.

PRESENTATION OF THE CONTEXT AND THE PERSONAL ASSISTANT DEPARTMENT

The Personal Assistant department’s role is to support 70+ AXA GO leaders across all divisions and geographies. Based in different locations (Europe, Morocco, Asia, Americas), PAs work as one global team to ensure quality and consistency of support provided, leveraging flexible ways of working and continuous improvement.

Main missions
EXCO PERSONAL ASSISTANT MAIN ACTIVITIES

As Excom Personal Assistant your main activities are:

  • Provide personalized support to an AXA GO Excom executive in his/her day to day for the scheduling of his/her activities and the coordination of the related logistics, in close collaboration with the Executive Assistant. This includes agenda management, organization of meetings, workshops, onsite or offsite events, as well as travel arrangements.
  • Perform any required administrative tasks on behalf of the executive such as reporting expenses or raising and following up on IT incidents.
  • Work internationally and transversally with executives, employees, and PA colleagues to organize complex meetings, events, and travel.
  • Act as back up on critical activities for PAs supporting other leaders during short absences.
  • Actively contribute to PA team cohesion, as well as to the PA teams’ continuous improvement and learning via sharing of knowledge and best practices.
Expected skills & experience

We are looking for someone with the following experience and skills:

Experience and skills
  • Over 10 years previous experience in a complex international environment, with both global and local stakeholders.
  • Fluent in English (written and oral). Fluency in French would be valued.
  • Excellent communication, both oral and written, with the ability to be concise and clear.
  • Excellent collaboration and stakeholder management: listening and understanding executives’ needs; working constructively with colleagues across geographies and departments.
  • Strong time management, organizational and planning skills, with the ability to adapt to shifting priorities.
  • Action oriented: looking for solutions and moving forward even when all is not clear.
  • Professional discretion: maintaining the highest level of confidentiality at all times.
  • Tools literacy
    • Proficiency in MS Pack Office: Word, Excel, PowerPoint, Outlook;
    • Ability to learn to use different Finance, Procurement, HR tools in order to conduct administrative tasks.
