A global engineering firm located in Sant Feliu de Llobregat is seeking an experienced Executive Assistant to provide high-level administrative support for senior leadership. The successful candidate will coordinate complex calendars, manage travel logistics, prepare expense reports, and organize high-level meetings while ensuring confidentiality. Candidates should have a minimum of 5 years in similar roles and be fluent in Spanish and English. This position demands exceptional organizational skills and discretion.

Formación

Job Responsibilities

Mission: Enable senior leadership to operate efficiently by providing proactive, high-level administrative support while ensuring smooth office operations, resource management, and a welcoming environment for employees and visitors.

Executive Calendar Management: Proactively manage and prioritize complex calendars for Vice Presidents, including scheduling meetings across multiple time zones and resolving conflicts.

Travel & Logistics Coordination: Plan and organize domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa arrangements.

Expense Management: Prepare, review, and reconcile expense reports for senior leadership, ensuring compliance with company policies and timely submission.

Meeting & Event Coordination: Organize high-level meetings, leadership offsites, and internal events, including agenda preparation, materials distribution, and follow-up actions.

Confidential Document Handling: Draft, proofread, and manage sensitive documents and presentations with a high degree of confidentiality and accuracy.

Stakeholder Liaison: Act as a point of contact between senior leadership and internal/external stakeholders, ensuring effective communication and timely responses.

Office Operations Oversight: Manage front desk activities, office supplies, and ensure a welcoming environment for employees and visitors.

Access & Compliance Management: Handle access control, time & attendance systems, badge management, and compliance checks.

Vendor & Contract Oversight: Coordinate HR and administrative vendors, ensuring service quality and timely issue resolution.

Fleet & Facility Management: Administer company fleet documentation, maintenance scheduling, and related administrative tasks.

Process Improvement: Identify opportunities to streamline administrative and office processes and implement best practices for efficiency.

Job Requirements

Proven Experience: Minimum 5 years in executive assistant or senior administrative roles supporting C-level or VP-level executives, with office management responsibilities.

Technical Skills: Advanced proficiency in MS Office Suite (Excel, PowerPoint, Outlook) and familiarity with expense and travel management systems (e.g., Concur, SAP).

Languages: Fluent in Spanish and English; additional languages are a plus.

Soft Skills: Exceptional organizational skills, discretion, and ability to handle confidential information. Strong interpersonal and communication abilities.

Problem-Solving: Ability to anticipate needs, manage priorities under pressure, and work independently in a fast-paced environment.
