About the Role

The Everest HR team is seeking a People Services Coordinator for a 6‑month contract. This is an exciting opportunity to play a vital role in our Human Resources function directly impacting the employee experience from their first interview to their entire career journey with us. This is a hybrid role based in our Madrid office (3 days in office / 2 days remote) offered as a 6‑month contract assignment.

As the first point of contact for candidates, employees and our internal HR teams you will provide essential support across the entire employment lifecycle. If you are a highly organized and service‑oriented professional looking to contribute to a dynamic team we encourage you to apply.

Position Overview & Key Responsibilities
  • Employee Lifecycle Management
    • Process key employee transactions such as new hires, transfers, promotions and terminations.
    • Draft and issue employment‑related documents including offer letters, contracts and salary increase letters.
    • Coordinate the interview scheduling process between candidates and hiring managers.
    • Manage onboarding activities from initiating background checks to facilitating new hire paperwork and system access.
    • Support the offboarding process ensuring all final documentation and logistics are handled correctly.
  • HRIS and Data Management
    • Maintain and update employee data with a high degree of accuracy in our HRIS Workday.
    • Generate regular and ad‑hoc HR reports such as headcount lists and compensation data.
    • Assist the payroll team by ensuring employee data is accurate and submitted on time.
  • Operational & Administrative Support
    • Serve as a key point of contact for employee and manager inquiries handling them with professionalism and confidentiality.
    • Assist with Global Mobility tasks including tracking visas and renewal timelines.
    • Track probationary periods, family leave and compliance training ensuring timely follow‑up.
    • Support HR projects aimed at improving operational efficiency and data integrity.
    • Provide administrative support for learning & development and language course registrations.
Qualifications & Skills
  • Proactive, detail‑oriented and thrives in a collaborative environment.
  • Previous experience in a Human Resources or related administrative function.
  • Proficiency in Microsoft Office (Excel, Outlook, Word). Experience with Workday or a similar HRIS platform is highly preferred.
  • Strong organizational skills with a high attention to detail and the ability to manage multiple priorities.
  • Excellent customer service and interpersonal communication skills.
  • Proven ability to handle confidential and sensitive information with discretion.
  • A collaborative team player who is adaptable and performs well in a fast‑paced environment.
  • Professional fluency in English is required. Fluency in a second language (Spanish preferred) is a plus.
