People Experience Team ensures the positive experience of company’s employees by leading and managing various experience-based projects on their own and in collaboration with other teams of the company and external vendors.

What will you do:
Office Operations & Facilities
  • Ensure full functionality of the Madrid office and liaise with the office space provider WeWork for infrastructure- and services-related questions.
  • Manage office design and well-being elements.
  • Handle necessary purchases for the office and coordinate deliveries of daily supplies.
Employee Experience and Community building
  • Coordinate Madrid office access and onboarding for employees and guests.
  • Organise internal community events, teambuilding activities, as well as other internal events, plan and organise major annual events in coordination with Kyiv office and in collaboration internally with relevant other teams and with external vendors.
  • Provide support to collaborative events and partner meetings.
  • Communicate updates of the office life in Madrid and any relevant experiences.
Vendor & Administrative Coordination
  • Manage the established vendor relationships to maintain and enhance the daily employee experience, troubleshooting issues with providers when necessary.
  • Establish new vendor relationships as required for office operations and event management.
  • Record expenses and coordinate with the Finance team for invoicing and payments.
Internal Collaboration
  • Collaborate closely within the People Experience (PX) team and People Operations team, and cross-functionally with other teams (Communications, Visual Communications, Finance, HelpDesk, etc.) on joint projects and initiatives.
  • Keep up to date the Madrid Office Manual and any office-related pages.
Additional Responsibilities
  • Perform other related tasks and support PX initiatives as required by the role and evolving company needs.
What do you need to join us:
  • Have a previous experience in office management/ community roles
  • Experience in the full cycle of event organisation - from concept and vendor coordination to on-site execution, as the event coordinator or event manager assistant.
  • Knowledge of Spanish business environment and work with local vendors, with a good understanding of local work culture and communication styles.
  • Linguistic competence:
    • Ukrainian — C1
    • Spanish — B2+
    • English — B1+
  • Experience in cross-functional collaboration is a plus.
  • Structure in the approaches to work.
  • Strong communication skills.
  • Proactive problem-solving and attention to detail.
  • Disposition to learn quickly and constantly learn new things.

Working schedule
