Job Description

We’re looking for a Finance & Executive Assistant : someone who combines organizational skills, financial rigor, and people sensitivity with a real understanding of music and creative environments. Someone who makes things happen, handles multitasking and coordination, and enhances productivity to help our team achieve their goals and deliver impact.

This is a multidisciplinary strategic and admin role who will be working closely to both our CEO and Operations Manager and helping us manage our finances and documentation, back-office needs, and team support.

Key Responsibilities
Finance
  • Handle invoicing for vendors; prepare payments and maintain organized expense records.
  • Issue client invoices and help automate billing processes.
  • Collect, catalog, and manage all company expense and income documentation.
  • Collaborate with our accounting and tax advisors to ensure compliance with Spanish and EU regulations.
  • Help process refunds and the corresponding credit notes.
  • Help prepare expense forecasts and financial summaries.
Backoffice
  • Coordinate office supplies and equipment purchases.
  • Manage inventory and handle equipment assignments.
  • Organize workspaces and support daily office operations.
  • Oversee repairs and help maintain clear internal communication.
  • Assist with calendar management, office attendance schedule, meeting coordination, and travel arrangements.
Documentation & Legal
  • Support contract drafting and signing processes with vendors, collaborators, and new hires.
  • Draft internal policies, onboarding and offboarding materials.
  • Help prepare HR policies and PRL compliance.
  • Deploy and coordinate our Flexible Benefits Plan across the team.
  • Support contract drafting for particular b2c or b2b situations.
  • Support the company in building a transparent, empowering, and creative company culture.
  • Prepare grant applications and public funding documentation.>
Required qualifications
  • A bachelor’s degree (Degree in Business Administration, Economics, Law, or similar is a nice-to-have)
  • At least 2 years of experience in as an executive assistant, or in a finance, HR, or legal position (preferably in SMEs or startups).
  • Excellent written and spoken communication in Catalan, Spanish, and English.
Essential skills
  • Highly proficient with spreadsheets and systems like Holded.
  • Familiarity with Spanish accounting, taxation, and labor frameworks.
  • Experience with Trello, Slack, Google Sheets, Gsuite, Office, and similar tools.
  • Structured, proactive, and detail-oriented.
  • Strong sense of responsibility, trustworthiness, and confidentiality.
  • Experience in music management, performing arts administration, or creative industries.
Nice-to-haves
  • Understanding of how music professionals work and invoice.
  • Experience preparing or assisting with grant applications and public funding.
  • A genuine passion for music and supporting those who make it.
  • A charmingly terrible sense of humor.
