Administrative Assistant (HR & PA Focus )

🔎 Who We're Looking For

We're looking for an Administrative Assistant who will focus on all things Human Resources at Venga, while also handling administrative and personal assistant tasks for the CEO. If you are at the start of your career and are hungry for a challenge to help boost your career, this role is for you!

This role will eventually grow into a full HR role, and you will have the possibility to develop your career in HR.

💻 What You'll Be Doing
HR
  • Manage relations with our external labor team for all current and future team members, ensuring that all critical information is delivered and all problems and tasks are solved promptly.
  • Track vacation days and sick days for the entire team.
  • Help coordinate recruitment and interviews when applicable.
  • Manage the onboarding of new team members.
  • Own our team's HR portal, making sure that all of our policies and key information are clearly visible and easily reachable by any team member.
  • Manage communication and processes regarding all company health, safety, risk, and insurance requirements, ensuring compliance with company policies and safety regulations.
  • You will take a proactive role in ensuring the Venga team has all the necessary equipment to work, including buying, repairing (if needed), managing and tracking inventory, creating equipment transfer agreements, and more.
  • Take the lead in proactively organizing all team events and team‑building activities: conferences, marketing dinners and meetups, internal events, corporate parties, etc.
Admin
  • Circulate legal documents for signatures and e‑signatures to the needed team members.
  • Organize and maintain important documents, files, records, and invoice archives.
  • Assist with scheduling meetings and booking meeting rooms for the team.
  • Help manage document translations when needed.
CEO PA
  • Report directly to the CEO and proactively assist with all needed personal and work‑related tasks.
  • Handle ad hoc projects and assignments as directed by the CEO.
👤 Who You Are & What You'll Need
  • Entry‑level role.
  • You have up to 4 years of work experience max.
  • You are an extrovert with a warm and positive personality.
  • Native or Advanced level of English and Spanish.
  • Strong copywriting and reviewing skills in both languages.
  • Bachelor's degree in Human Resources Management, Organizational Behaviour, Psychology, or other relevant fields.
  • Passion and understanding of crypto, Web3, and blockchain is a significant plus.
  • Proficiency in office software and tools, such as Google Docs, Calendly, and many more.
  • You can handle sensitive and confidential information.
  • Excellent planning and project management skills.
  • You are not afraid to get your hands dirty and are readytoget involved in multiple processes simultaneously.
  • You are exceptionally well organized and can stay calm when working to tight deadlines.
  • You can break complex problems into viable and actionable chunks and solve each problem accurately and effectively.
