Office Administrator

YOUR ROLE
  • Reception & Office Support: Assist with answering the Bank’s main telephone line, taking messages as appropriate; assist with ensuring that the reception area is properly maintained and organized; assist with ensuring that the office is properly stocked with supply items as required; serve as back-up to receptionist in the event of absences.
  • Procurement & Inventory: Manage procurement and inventory of supplies; prepare courier packages.
  • Contract & File Management: Overseeing the execution of contracts, managing contracts / orders, invoicing and payment. File Management: file clients’ and the Bank’s documents / correspondences, creating client legal files, correspondence files and offices files as appropriate and remove old files as needed; organize files in systematic manner in the filing cabinets, ensuring that they are properly maintained and stored; maintain the storage area and archives in a clean, organized and presentable manner, ensuring that documents are archived and old outdated documents are destroyed as appropriate; when required, assist the Client Lifecycle Management Team with retrieving client legal files from the protected area and ensuring that the files are returned to the protected area at the end of each business day; print and mail client advices at the end of each period (e.g monthly, quarterly, semi-annually and annually).
  • Security & Safety: Ensuring the operational safety of the office for internal and external client and providing support (fire, security procedures, first aid and local regulations).
  • General Support: To be able to perform delegated functions as required and/or function in other non-conflicting key areas of the Bank in cases of absences or planned leave.
  • Note: To recognize that this document addresses the Primary functions of the Risk Manager and may involve responsibilities both directly and indirectly associated with the job.
