Responsibilities
- Provide high-touch executive administrative support to the Vice President and Berlin site leader as well as ad hoc support to local leaders and their teams to support overall business objectives.
- Coordinate and manage internal and external meetings at the executive (C-suite) level, including Global Market leadership team onsite meetings and events, managing the budget, key stakeholders, and any special requirements. This role includes interaction with CEO staff, Executive Assistants and C-suite executives.
- Help to design and administer an operating rhythm for the team.
- Support the planning and execution of executive visits to the site, including logistics, agendas, and liaising with stakeholders on site.
- Act as a key point of contact for communication regarding site-wide initiatives, ensuring smooth collaboration across teams.
- Drive key team activities and meeting coordination (staff meetings, all-hands meetings, quarterly on-sites / offsites); including agendas, tracking, and driving completion of key deliverables and follow-up on outstanding items.
- Organise merchant events for the Berlin team.
- Coordinate with all Affinity Groups (Pride, Unity, Rise, Thrive, etc.) to organize events and get-togethers.
- Enable the office team to operate from onboarding, IT supplies, and administration.
- Work with external vendors and all other related facilities management.
- Follow up on action items on behalf of the leaders as appropriate.
- Provide effective and expeditious calendar management and meeting coordination including agendas, notes, and follow-up as needed.
- Manage room bookings and video conference facilities on site.
- Make travel arrangements expeditiously and accurately for both domestic and international travel.
- Prepare and track purchase orders and expense reports.
- Partner with EAs per group in order to learn, share best practices and foster cross-functional collaboration at all times.

- Organize events for the DEATCH teams based team to create engagement.
Experience
- 3+ years relevant work experience supporting at the VP or above levels in a complex and dynamic environment.
- Prior experience in handling a wide range of administrative-related tasks, organizing large meetings across timezones and arranging travel.
- Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
- Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
- Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
- Highly organized with meticulous attention to detail, adaptability, flexibility, resourcefulness and efficiency.
- Self-starter and self-directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
- High level of integrity required for handling sensitive and confidential information.
- A “can-do” attitude that focuses on getting the job done.
- Team player and comfortable working within an executive assistant team dynamic, as well as working with other stakeholders and partners.
- Flexibility to accommodate leaders’ global travel schedule.
- Advanced skills using MS Office applications; Outlook, Word, Excel, PowerPoint and Teams.
- Excellent communication skills (both written and oral).
- Comfortable taking direction from members of the senior leadership’s support team.
- Fluent in English.
