Overview

The Volunteer Coordinator is responsible for overseeing volunteer activities within the organization. Their key activities include volunteer recruitment, orientation and training, placing volunteers in different roles, and recognition activities. Additionally, the Volunteer Coordinator plays an active role in supporting internal and external organizational events. Working collaboratively with team members and supporters, this position helps to create meaningful opportunities for women to connect and create change in the community.

Key Duties

Volunteer Recruitment & Onboarding

  • Develop and post volunteer opportunities; outreach to diverse community groups to maintain a robust volunteer pool.
  • Screen and interview volunteer candidates; perform background/vulnerable sector checks.
  • Conduct orientation sessions and training to ensure volunteers understand the organization’s values, policies (including confidentiality, safety, trauma‑informed practice), and their role.
  • Assess volunteer skills, interests, availability and match them to appropriate roles.
  • Coordinate with other staff/program leads to identify where volunteer placements can effectively support programs/events.
  • Monitor placements to ensure a good fit and make adjustments as needed.

Support & Supervision

  • Maintain regular communication with volunteers (check‑ins, feedback, addressing issues).
  • Provide ongoing training or refreshers if needed.
  • Support volunteers through difficulties or conflicts; ensure their experience is positive and meaningful.

Volunteer Recognition & Retention

  • Plan and organize recognition events or activities.
  • Develop systems or practices that help volunteer retention (e.g. feedback, rewards, growth opportunities).

Records & Administration

  • Maintain volunteer files: applications, onboarding, orientation and training records, hours logged, performance feedback, offboarding.
  • Use and maintain volunteer management systems or databases.
  • Generate reports/statistics as needed (number of volunteers, hours, turnover, impact metrics).

Events & Program Support

  • Collaborate with team members to plan and execute internal and external events requiring volunteer support.
  • Support with educational field placements (practicum).
  • Ensure volunteers are integrated into programming safely and effectively.

Equity, Diversity, Inclusion & Truth and Reconciliation

  • Ensure volunteer program practices are inclusive and culturally responsive.
  • Participate in and support organizational efforts related to equity and inclusion.
  • Integrate principles of Truth and Reconciliation in work with Indigenous volunteers and programming.
Required Qualifications
  • Undergraduate degree in related field (e.g. social work, non-profit management, community development) or equivalent combination of education & experience
  • Member in good standing with relevant regulatory body (if applicable).
  • 5+ years of experience working with volunteers preferably in non-profit or community service settings
  • Strong organizational skills, attention to detail, ability to manage multiple tasks
  • Strong leadership skills with the ability to motivate and inspire others.
  • Demonstrated ability to work collaboratively with people of diverse backgrounds.
  • Understanding of women’s issues and the importance of empowering women and girls.
  • Excellent communication and interpersonal skills.
  • Organizational skills and attention to detail.
  • Demonstrated proficiency in the Microsoft Office suite or related applications.
  • Experience using Better Impact is an asset
Working Conditions

The Women’s Centre is a storefront community center operating in an open environment. This role will require attendance and participation in off-site meetings and events in the community. This position requires occasional evening and weekend work.
