About the role

We are seeking a highly organized and proactive Operations Associate to support our Canadian operations team. This role involves a mix of administrative coordination, compliance tracking and office support. The ideal candidate is detail‑oriented, adaptable and comfortable managing a wide range of tasks across departments.

What you’ll be doing
  • Meet Canadian Federal Government Security clearance requirements to obtain Secret clearance
  • FSC and DSC security clearance
  • Manage security clearance processes, presentations, incident reporting and audits
  • Alarm system: maintain users and quarterly review
  • Provide executive support including calendar management, meeting coordination, travel arrangements (flight passes use and purchase) and reminders
  • Process and approve expense claims and purchase requests using Concur and other systems
  • Serve as backup for other administrative staff ensuring continuity of operations
  • Maintain attendance records, PTO tracking, and staff service recognition
  • Coordinate office operations including supplies, vendor payments and leasehold improvement tracking
  • Oversee Controlled Goods compliance including staff vetting and reporting
  • Support internal documentation workflows including DocuSign and business card requests
  • Assist with staff events, team‑building activities and general office logistics
  • Respond to ad hoc requests from staff and leadership with professionalism and discretion
What you have
  • Min. 5 years of experience in an administrative operations or executive support role
  • Advanced knowledge of Canadian Federal Government Security clearance program
  • Strong organizational and multitasking skills with attention to detail
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite; experience with Concur, DocuSign and other business tools is an asset
  • Ability to handle confidential information and sensitive tasks with discretion
  • Comfortable working independently while supporting multiple stakeholders
