Overview
The Senior Executive Assistant (Sr. EA) to the Chief Human Resources Officer (CHRO) provides high-level administrative, operational, and strategic support, acting as a critical enabler for the effectiveness of the CHRO and the broader Human Resources leadership team. This pivotal role demands exceptional interpersonal acumen, a highly collaborative spirit, and the proven ability to build and nurture influential, trust‑based relationships with stakeholders at all organizational levels. What You Do
- Provide comprehensive executive‑level administrative support to the CHRO, anticipating needs and proactively managing priorities.
- Manage a complex and dynamic calendar, including meeting prioritization, cross‑functional coordination, and preparation of briefings and materials.
- Oversee all travel arrangements, itineraries, and logistical planning for internal and external engagements.
- Prepare, edit, and format highly confidential documents, briefing notes, communications, and executive‑level presentations.
- Design, compile, and coordinate materials for strategic presentations, including PowerPoint decks for Executive Committee, Board‑level reporting, and HR leadership forums.
- Conduct research, analyze information, and synthesize data into clear summaries or recommendations for the CHRO.
- Track and manage follow‑ups, action items, approvals, and key deliverables across the HR portfolio.
- Maintain a systematic and efficient digital and physical filing structure, ensuring easy and confidential retrieval.
- Oversee Manager Self‑Serve form processing (new hires, job changes, terminations) and technology/equipment requests.
- Administer and coordinate weekly team huddles, HR leadership meetings, and operational routines; ensure priorities, metrics, and departmental anchors are updated and communicated in real time.
- Serve as a liaison between the CHRO and senior leaders, stakeholders, and external partners with professionalism, diplomacy, and confidentiality.
- Monitor and manage training, policy sign‑offs, and compliance follow‑ups for large stakeholder groups.
- Apply sound judgment to triage, prioritize, and respond to incoming inquiries, requests, and communications on behalf of the CHRO.
- Maintain and update departmental SharePoint sites, ensuring organized, current, and accessible content.
- Represent the CHRO’s office in interactions with senior executives and executive assistants across the organization.
- Support HR department operations by acting as a key point of contact for inquiries, leading or coordinating cross‑functional projects, and participating in committees as required.
- Assist in the planning and execution of special events, leadership off‑sites, town halls, and training sessions.
- Handle ad hoc assignments with discretion and a high degree of initiative.
What You Need
- Minimum of 7 years of progressive executive support experience, with at least 5 years directly supporting C‑suite executives (e.g., CEO, CHRO, CFO) in a large, publicly traded, and highly matrixed corporate environment is essential.
- Demonstrated understanding of corporate governance, organizational structure, and key business drivers within a large, complex enterprise.
- Mastery of the full Microsoft Office 365 ecosystem, with a proven ability to leverage advanced features in Outlook, PowerPoint, Excel, Word, Teams, Viva, Co‑Pilot, and SharePoint to optimize workflow, enhance communication, and support strategic initiatives.
- Exceptional executive presence and professional demeanor, capable of positively representing the CHRO's office in all interactions.
- Strong customer service orientation and a high level of professionalism, diplomacy, and discretion.
- Proven ability to cultivate strong, trust‑based relationships with senior leaders, Board members, and external partners, leveraging exceptional interpersonal and communication skills.
- Excellent verbal and written communication skills, including executive‑caliber writing, strong and consistent attention to detail, accuracy, and quality control.
- Proven ability to manage multiple priorities in a fast‑paced, deadline‑driven environment.
- High level of initiative, strong judgment, and effective problem‑solving skills.
- Ability to work independently while actively contributing to a collaborative team environment.
- Periodic travel may be required between Loblaw Head Office, Shoppers Drug Mart Head Office, and other locations as needed.
