Overview

Equation Staffing Solutions is currently seeking a highly motivated and detail-oriented Records Management Clerk to join the Government of Alberta in Edmonton. This position offers a great opportunity to contribute to the effective organization and management of important records within the corporate purchasing function. Responsibilities
  • Organize and categorize official records within the Corporate Purchasing SharePoint repository, ensuring they are renamed according to established nomenclature.
  • Maintain accurate and up-to-date records inventories, ensuring proper classification for easy retrieval.
  • Assign appropriate metadata to all records for efficient tracking, retrieval, and archiving in line with the Procurement Services Branch standards.
  • Create and maintain clear process documentation to outline procedures for accessing, storing, and disposing of records.
  • Collaborate with various departments to ensure process documentation is easy to understand and aligns with legal and compliance requirements.
  • Implement systems to facilitate the efficient retrieval of records and ensure staff is properly trained in access and handling procedures.
  • Ensure all records management practices comply with the Procurement Services Branch requirements while maintaining confidentiality and security of sensitive data.
Qualifications
  • At least 4 years of experience in an Information Management environment, specifically working with records and documents.
  • Strong background in records management with a solid understanding of best practices and compliance standards.
  • Formal education in Records and Archive Management or a related field.
  • At least 4 years of experience using Microsoft SharePoint for document management and records storage.
  • 4 years of experience with Central Administration in a SharePoint environment, ensuring proper management and configuration of records.
  • 2 years of experience working with Power BI reporting and SQL Server Analysis Services, Integration Services, and Reporting Services.
  • Excellent attention to detail, organizational skills, and the ability to maintain accurate and up-to-date records inventories.
  • Knowledge of metadata assignment, document archiving, and maintaining data security and confidentiality.
