Our office in Niagara Falls, ON, is looking for a Purchasing Coordinator to join our team.

Summary of the Role

Reporting to the Corporate Purchasing Manager, the Purchasing Coordinator supports the Procurement team by administering key purchasing, compliance, and supplier management activities across active construction projects. This role is responsible for tracking submittals and documentation throughout the purchase order lifecycle, maintaining supplier and subcontractor records, and assisting with sourcing and evaluation initiatives.

The Purchasing Coordinator plays a critical role in ensuring procurement processes are compliant, organized, and aligned with company standards, project requirements, and Health, Safety & Environmental (HSE) obligations.

Key Responsibilities
  • Track and manage project submittals (including shop drawings, Inspection & Test Plans (ITPs), and related documentation) throughout the purchase order lifecycle.
  • Maintain accurate and up-to-date records within procurement and document management systems.
  • Support Purchasing and Project teams by expediting pending deliveries and outstanding submittals.
  • Maintain and monitor subcontractor HSE records database to ensure documentation is current and compliant with company and regulatory requirements.
  • Coordinate with suppliers, subcontractors, and internal stakeholders to obtain missing or expired compliance documentation.
  • Administer annual supplier and subcontractor evaluation processes in accordance with company procedures.
  • Compile evaluation data, track completion, and support reporting and follow-up activities.
  • Assist in issuing Requests for Quotation (RFQs) to qualified and approved suppliers in accordance with company procurement policies and project requirements.
  • Support bid tracking, comparison, and documentation under the direction of Purchasing Agents.
  • Assist with special procurement initiatives, including but not limited to supplier diversity programs and process improvement projects.
  • Support data collection, reporting, and coordination related to procurement initiatives.
Key Requirements, Experience And Skills
  • Post-secondary education (either completed or working towards completion) in Business Administration, Supply Chain Management, Construction Management or a related field is preferred.
  • Familiarity with construction industry documentation, subcontractor management, and RFQ processes is preferred.
  • Proficient with Microsoft Office (Excel, Word, Outlook, etc.)
  • Previous experience in procurement, purchasing, construction administration, project manager, or a related role is an asset.
  • Experience with ERP or procurement systems is an asset.
  • Experience working in a unionized, multi-trade construction environment is an asset.
