The Opportunity

The Opportunity Mosaic is seeking a Property Administrator to work out of our Nanaimo office on Vancouver Island, British Columbia.

The Role

Reporting to the Asset Manager, the Property Administrator will provide administrative and contract support for the management and operation of Mosaic’s diverse portfolio of properties. The role is responsible for maintaining accurate property and agreement records, coordinating documentation, and supporting day-to-day property, asset, and licence administration activities in collaboration with Real Estate, Legal, and Finance teams. Specific responsibilities include but are not limited to:

  • Providing administrative support to the Real Estate team, including preparation of documentation, property histories, correspondence, reports, and presentations;
  • Preparing and administering a variety of agreements and tenures, including Crown tenures, licences, leases, road use agreements, private land contracts, and third-party access agreements, in coordination with Legal Services as required;
  • Administering contracts involving rents and administration fees, preparing invoices, monitoring payments, and ensuring compliance with contractual obligations;
  • Managing documentation, licences, invoicing, and records related to facilities, cabins, commercial interests, free miner access, and other licensed uses;
  • Supporting annual property tax reviews, tax payments, and tax rechargeables;
  • Maintaining accurate and current property records within Mosaic’s management systems, including LRM, Laserfiche, and SharePoint, and generating reports for internal and external stakeholders;
  • Responding to internal and external inquiries related to property interests, licence holders, and land use matters, liaising with government agencies and third parties as needed.
What We’re Seeking
  • A minimum of 2 years’ experience in a real estate, legal, survey, or property management experience;
  • Post-secondary education in a related field is preferred, but not required;
  • Strong knowledge of property administration, land title systems, and records management;
  • Strong communication and interpersonal skills, with the ability to work collaboratively across teams;
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities; and
  • Proficiency with Microsoft Office and comfort working within document and data management systems.

Compensation

The annual salary range for this position is $60,000 to $75,000. Individual compensation is commensurate with skill, relevant experience, and education.
