We are seeking an experienced and highly organized Project Proposal Specialist to join our Toronto team. This role plays a key part in LANDinc’s business development efforts by preparing and coordinating high-quality proposals, RFPs, and RFQs that effectively communicate our expertise and design excellence.

Position Overview

The Project Proposal Specialist is responsible for leading the development and submission of proposals and qualifications packages from inception to delivery. Working closely with Principals, Directors, and project teams, this position ensures that every submission reflects LANDinc’s design ethos, technical capabilities, and client-focused approach.

This individual will be adept at transforming complex technical information into compelling written content and visuals that resonate with diverse audiences. The role requires strong writing, editing, and organizational skills, as well as a deep understanding of proposal development within the architecture, engineering, and construction (AEC) industry.

What you will be doing :

Responsibilities
  • Proposal Development & Coordination (60%)
  • Lead the end-to-end preparation of proposals, RFQs, and RFPs for both public and private sector clients.
  • Coordinate multi-disciplinary teams to gather input, develop narratives, and ensure alignment with project goals and client expectations.
  • Write and edit persuasive, client-focused content that clearly communicates LANDinc’s qualifications, methodologies, and project approach.
  • Develop accurate fee structures, timelines, and work breakdowns in collaboration with technical leads.
  • Ensure all proposals meet submission criteria, formatting requirements, and deadlines.
  • Design and prepare presentation materials and PowerPoint decks for interviews and client pitches.
  • Maintain version control and quality assurance across all submission materials.
  • Portfolio & Marketing Materials (25%)
  • Manage and maintain LANDinc’s project portfolio, staff resumes, and case studies.
  • Update and refine templates, layouts, and style guides for proposals and marketing materials.
  • Develop high-quality visuals, infographics, and project summaries to enhance submission impact.
  • Ensure brand consistency across all deliverables.
  • Opportunity Tracking & Research (10%)
  • Monitor industry procurement portals and identify relevant proposal opportunities.
  • Research client organizations, market trends, and competitor positioning to inform proposal strategy.
  • Maintain a centralized database of leads, contacts, and submission outcomes to track performance metrics.
  • Communications & Content Support (5%)
  • Support LANDinc’s online presence by assisting with website and social media content related to project awards, pursuits, and firm milestones.
  • Collaborate with team members on project features, case studies, and thought leadership pieces.
Qualifications
  • Bachelor’s degree in Architecture, Landscape Architecture, Communications, Marketing, or a related field.
  • Minimum 5–7 years of experience in proposal coordination or business development within the AEC industry.
  • Demonstrated experience preparing winning proposals and managing submission processes.
  • Exceptional writing, editing, and organizational skills.
  • Strong proficiency with Microsoft Office Suite (Word, PowerPoint, Excel) and Adobe Creative Suite (InDesign, Photoshop).
  • Experience with CRM systems (e.g., HubSpot, Deltek, Cosential, Salesforce) and proposal tracking tools.
  • Familiarity with public procurement processes and government RFP portals.
  • Ability to handle multiple deadlines and coordinate diverse input efficiently.
  • Excellent interpersonal communication and collaboration skills.
  • A keen eye for design and attention to visual detail.
