Qualifications

  • 5–10 years of experience in Project Management or similar role.

Your Opportunity

FBM is seeking a Project Controls Coordinator to support the day-to-day execution of project set-up and scheduling activities across the firm. This role is critical to ensuring projects are established accurately, schedules are maintained consistently, and project data is reliable and usable.

The Project Controls Coordinator works closely with the Project Controls & Scheduling Lead and is responsible for consistent execution of defined Project Controls processes.

Responsibilities

Project Set-Up & System Entry

  • Own the project set-up process, including:
  • reviewing completed Project Set-Up Forms (PSFs) for accuracy and completeness
  • following up with Project Managers when required information is missing or unclear
  • entering and maintaining projects, phases, and budgets in Ajera in accordance with established standards
  • Act as a gatekeeper for data quality, ensuring projects are not entered until required information is provided.
  • Maintain clear records of project set-ups, revisions, and changes.

Scheduling & Resource Coordination

  • Own the day-to-day scheduling activities using Primavera P6, including:
  • setting up new projects and phase structures in the schedule
  • maintaining schedules and completing weekly update cycles
  • coordinating schedule updates with Project Managers and team members
  • Prepare and maintain schedule and resource data to support forecasting and reporting.
  • Flag inconsistencies, risks, or data issues for review.

Reporting & Operational Support

  • Prepare routine weekly and monthly schedule and cost reports.
  • Distribute project controls information to Project Managers, Leads, and internal stakeholders as required.

Process Development & Continuous Improvement

  • Support the development, documentation, and refinement of Project Controls processes and procedures.
  • Identify recurring issues, gaps, or inefficiencies in day-to-day workflows.
  • Contribute ideas and feedback to improve tools, templates, and data flow.
  • Support adoption of new processes and standards as they are introduced.

This role plays a key part in strengthening FBM’s Project Controls function by ensuring the day-to-day work is executed consistently and accurately, enabling better planning, forecasting, and decision-making across the firm.

Qualifications
  • Post-secondary education in business, engineering, construction management, or a related field.
  • 5–10 years of experience in a Project Management, Project Controls, or similar operational role.
  • Strong attention to detail and a high standard for data accuracy.
  • Comfortable working independently and managing multiple inputs and priorities.
  • Confident communicator, able to ask questions and push back when information is incomplete.
  • Strong proficiency with Microsoft 365, particularly Excel.
Experience
  • Experience with project management and scheduling software required.
  • Familiarity with Ajera and/or Primavera P6 is a strong asset (training can be provided where needed).
