Job Summary

Reporting directly to the Chief Financial Officer of Infinity Métis Corp. ‘IMC’, the Project Administrator is responsible for supporting project setup, tracking and documentation. The incumbent will facilitate crew mobilization, credential verifications, maintain accurate project information within Business Central, and other financial systems. The incumbent will create, and process purchase orders (POs), support accounts receivable processes, and maintain organized project and mobilization records to meet reporting and audit requirements. Acting as a central point of contact for project administration inquiries, the position contributes to continuous improvement of workflows, financial accuracy, and cross‑departmental communication.

The incumbent will conduct all activities in a manner that supports the mission, vision, and values of IMC, as well as adherence to all established Policies and Procedures.

This permanent full‑time salaried position is based on forty (40) hours weekly. Additional hours may be required.

Duties and Responsibilities
  • Coordinate and manage the onboarding of all direct service providers, ensuring alignment with organizational standards, policies, and regulatory requirements.
  • Administer, monitor, and maintain all subcontractor contracts, including renewals, compliance obligations, and performance oversight.
  • Provide administrative support for project setup, coordination, and documentation across multiple operating companies.
  • Facilitate crew mobilization processes, including collecting and verifying required credentials and ensuring documentation is current and compliant.
  • Administer project information within Business Central and other financial systems to ensure accurate project setup, coding, costing, and workflow routing.
  • Create, process, and maintain POs related to project activities, ensuring alignment with approved budgets and project data.
  • Support accounts receivable (AR) activities by preparing, verifying, and submitting project billings information.
  • Maintain organized project files, credential records, and mobilization logs to support audits, reporting, and operational planning.
  • Assist with project updates, reporting requirements, and coordination between operations and finance teams.
  • Act as a central point of contact for project administration inquiries across supported business units.
  • Contribute to process improvements related to project coordination, administrative workflows, and financial data accuracy.
  • Other relevant duties as required.
Qualifications
  • Post‑secondary Diploma in Business Administration, Project Management, Finance Administration, or a related field is required.
  • Two (2) years of experience in project administration and/or PO administration is required.
  • An equivalent combination of post‑secondary education and experience may be considered.
  • Experience with Business Central is considered an asset.
  • Excellent organizational skills with the ability to manage multiple projects and shifting priorities.
  • Ability to adapt as business units grow and operational needs evolve.
  • Valid Class 5 Alberta Driver’s License, along with a clean driver’s abstract is required.
  • Clear Criminal Record Check required.
  • Must be proficient with all Microsoft Office Suite applications.
  • Excellent written and oral communication and interpersonal skills with the ability to listen effectively, respond appropriately, and maintain mutual comfort level while relating to a diverse workforce.
