Summary

The role of the Production Coordinator is to oversee the repair process from start to finish. As a Production Coordinator, you will work with all departments within the collision facility to facilitate an efficient repair process. Your main goal is to ensure an efficient, safe, and high-quality finished product.

Primary Objectives of the Role

  1. Coordinate repairs from start to finish.
  2. Maintain a sense of urgency regarding completion targets.
  3. Adapt to changing priorities and moving targets.
  4. Keep technician staff efficient, track efficiencies, and ensure appropriate work distribution to maximize throughput.
  5. Ensure technicians have necessary resources to proceed with repairs.
  6. Plan scheduled repairs proactively, prepare technical staff, stage parts, and select paint codes/variants.
  7. Collaborate with all departments for smooth repair flow.
  8. Understand performance KPIs (Touch time, Cycle Time).
  9. Focus on process improvements to eliminate bottlenecks.
  10. Conduct production or pitch meetings to set expectations and guide repair flow and targets.
  11. Prioritize repairs and create workflows to meet shop targets.
  12. Assist with supplements according to shop policies.
  13. Research repairs against OEM procedures and ensure technical documentation is available.
  14. Hold regular meetings with front-end staff to review WIP, communicate delays, and update insurers and customers.
  15. Engage estimators with technical team to improve estimating skills.
  16. Monitor shop safety and ensure health and safety guidelines are followed.
  17. Maintain shop cleanliness and proper disposal of waste and hazardous materials.
  18. Perform quality control checks throughout the repair process to ensure repairs meet estimates.
  19. Assist in scheduling to balance workflow.
  20. Ensure vehicles are stored safely, covered, and locked.
  21. Arrange sublet services such as calibrations, tinting, PDR, wheels, alignments, and film applications.
  22. Highlight opportunities for advanced repair planning (ARP).

Requirements

Job-related functional technical knowledge includes:

  • Utilize Mitchell Connect and Audatex software.
  • Understand the repair process flow in the shop.
  • Deep understanding of OEM procedures.
  • Knowledge of health and safety guidelines.

Qualifications and experience include:

  • Up-to-date compliance training (AODA, WHMIS, safety awareness, workplace violence & harassment, PIPEDA).
  • Experience with Mitchell Connect and Audatex; familiarity with other relevant systems is a plus.
  • 2-3 years of experience in automotive or collision repair industry.
  • Valid Class 5 Driver's License.
  • Knowledge of insurance DRP practices.
  • I-CAR training (specific type to be clarified).
  • Proficiency in Microsoft Office and relevant software.
  • Professional appearance and strong CSN ambassador qualities.
  • Experience with advanced repair planning systems.
