Who we need

Reporting to the Campus and Executive Support Manager, we have an opportunity for a Part-time Campus Administrative Assistant to support the daily operations of our downtown Toronto campus. You will be the first point of contact for students, staff, and visitors, managing reception and providing administrative support that keeps our campus running smoothly. Duties include classroom and studio bookings, inventory management, and mail handling to create a supportive environment where students and staff can focus on learning and teaching.

This is an onsite, part-time role based at one of our downtown Toronto campus locations. Hours include weekdays and scheduled weekend shifts.

As our new Campus Administrative Assistant, you will:
  • Be the first point of contact. You will welcome and assist students, staff, and visitors, creating a positive first impression and ensuring inquiries are handled promptly and professionally. You will manage incoming calls and emails, directing them appropriately and responding with accurate information.
  • Coordinate campus resources. You will oversee classroom and studio bookings to ensure smooth scheduling for both staff and students. You will support the planning and coordination of on-campus meetings and events, including catering requests and liaising with facilities or other internal teams.
  • Support daily operations. You will manage mail distribution and inventory, keeping supplies organized and accessible. You will liaise with third-party contractors when needed and contribute to administrative tasks that keep the campus running efficiently.

What you bring
  • The experience. You bring strong organizational skills and attention to detail, with a willingness to learn quickly and take on new tasks. You demonstrate discretion and professionalism in handling information and interactions. Previous administrative or reception experience is an asset, but not required.
  • The technical skills. You are comfortable using Microsoft Office tools, including Outlook, Word, Excel, and Teams. Experience with Forms and PowerPoint would be an advantage.
  • The communication. You have professional verbal and written communication skills, with the ability to interact confidently with students, staff, and external partners. You know how to balance a welcoming presence at reception with efficient, accurate administrative support.
  • The flexibility. You can work up to 25 hours per week, including evenings and weekends.
