Girls* on Ice Canada empowers youth to lead and succeed through science, art, and outdoor exploration.
Organization and Program Overview: Girls* on Ice Canada is a program of the Alpine Club of Canada (ACC) run in consultation with Inspiring Girls* Expeditions (IGE). Every summer we run tuition-free multi-day expeditions for high school youth that combine science, art and mountaineering. Our expeditions are led by professional scientists, artists, and mountain guides. One of the primary goals of our expeditions is to foster self-confidence in participants’ physical, intellectual, social, and leadership abilities. During each expedition, the team engages in scientific inquiry and artistic discovery about the environment around them. In small groups, participants design and implement their own scientific projects, which they present to the public on the last full day of their expeditions

Position Description
We are seeking an Onsite Coordinator for our 2026 Illecillewaet expedition. It is a part-time position from the months of March through July, with a full time period in July. The part-time portion of the work can be conducted remotely. However, being based in the Bow Valley, Golden, or Revelstoke areas for the second half of June and through the month of July is necessary as the expedition and pre-trip planning are held in these locations.
The expedition will take place from July 13th to 24th 2026 in Glacier National Park, British Columbia. The first 4 days will be spent at the Illecillewaet campground until the team moves up to the ACC’s Asulkan hut for the main portion of the program. The last 2 days will be spent at the ACC Clubhouse in Canmore.
Mandatory Dates Required to Support Program
Late June: Pre-trip scouting trip with instructors at Asulkan Hut (exact dates tbd)
July 6-12: Pre-trip preparation, including gear and food packing in Canmore
July 13-17: Support expedition at Illecillewaet campground
July 18-21: Availability in a 4hr driving radius of Rogers Pass and in cell service to support the Illecillewaet expedition.
July 22-26: Present for final two expedition days at the ACC Clubhouse in Canmore, and 1-2 extra days for gear clean up.
Responsibilities
The Onsite Coordinator is essential for a successful expedition. Responsibilities include managing all the logistics for the expedition, including gear, food, transportation and acting as the main point of contact for the participants and the instructor team. More detailed responsibilities are listed below.
March (10 hr/wk)
- The candidate will work with the instructor team to select the Illecillewaet participant team and alternate lists
April - May (10 hr/wk)
- Organize, schedule and lead instructor team meetings to plan the expedition (minimum once per month).
- Attend weekly Onsite Coordinator meetings.
- Attend monthly Girls* on Ice Canada meetings.
- Participate in virtual instructor training workshops.
- Manage gear inventory and communicate with the Program Administrator as needed to make gear purchases. This will require at least one visit to the gear storage facility in Canmore.
- Complete any logistics for the expedition that must be done in advance, (i.e., making reservations, acquiring permits, organizing transportation, etc).
- Serve as the primary point of communication for participants and coordinate participant paperwork.
- Organize online waiver signing sessions with participants and their families in cooperation with the lead mountain guide.
- Manage the logistics of visiting instructors, such as the artist, hiking guide, visiting scientist, Indigenous facilitator, etc.
- Manage logistics and tasks for volunteers, and act as their primary point of contact.
- Execute expedition spending within the approved expedition budget.
- Help monitor and manage Girls* on Ice Canada emails.
June - Mid July (15 hr/wk, except scouting trip)
- Plan and participate in a 3-4 day pre-expedition scouting and skills development trip with the instructor team.
- Manage planning, purchasing, and packing equipment for the expedition.
- Plan the expedition meals. Purchase, pack and label all food for the expedition (front country and backcountry meals).
- Coordinate expedition transport to and from the local airport and/or pre-selected pick-up locations.
- Support participants in preparing for the expedition
Pre-Expedition, 7 days (Full-Time)
- Arrive at the expedition’s launch site with sufficient time (as agreed upon by the instructor team) to pack, plan, manage logistics, and prepare for participant’s arrival.
- Supervise participants arriving early, which includes providing meals and staying with them overnight.
Note: capacity to supervise minors required.
Expedition, 12 days (Full-Time)
- Travel to Calgary airport with a hired driver to pick up participants.
- Be present to support the instructor team and participants on-site during the frontcountry days of the expedition.
- Cook meals for the frontcountry expedition days and manage the organization of camp.
- Final coordination of volunteer hiking support.
- Support standby (remain in cell service) while the expedition team is in the backcountry.
- Act as a back-up instructor in case instructors get injured or sick.
- Support the team at the expedition’s end site and coordinate and lead final clean-up.
- Coordinate transportation to and from the local airport and/or pre-selected drop off locations.
- Act as the primary point of contact for participants’ parents while the team is on the expedition.
Post Expedition, 1-2 days (Full-Time)
- Supervise students staying late, which includes arranging meals and staying with the students overnight.
- Remain at the expedition's end site with sufficient time (as agreed upon by the instructor team) to clean, organize ,inventory, and store equipment for next season; debrief expedition with instructor team; and complete remaining paperwork.
- Ensure the group science presentations, photos, projects and proper documents are stored on the G*OIC drive
- Ensure the expedition “letters to themselves” are transferred to the program administrator for storage and
Compensation
Fee of $10,825CAD, distributed in the following installments:
March: $1100
April: $1100
May: $1100
June: $2300
July: $2300
August: $2,925
Mileage: $0.65/km up to a maximum of 1,250km over the contract period.
Additional expenses must be approved by the Girls* on Ice Canada Program Manager.
*All hours listed are approximate.
*Onsite Coordinators are responsible for their own health insurance and transportation.
Required Qualifications & Experience
- Minimum three years of professional experience or post-secondary education: We strive to create diverse leadership teams with different areas of expertise. This required experience may include formal education, on the job training in a relevant field (e.g. project management, event planning), or other experience that you feel is appropriate.
- Must possess a current First Aid (minimum 20 hour course) and CPR certification prior to expedition start date.
- Excellent organization and communication skills; proficiency with Google Drive.
- Physically fit, able to work long hours in the field and lift, carry heavy objects (50+ pounds) over awkward terrain.
- Experience in planning meals for groups with dietary restrictions in a multi-day expedition setting.
- Class 5 drivers license and access to a reliable personal vehicle for logistical tasks (e.g., food and equipment transport).
- Reside in and be eligible to work in Canada.
- Ability to pass a vulnerable sector background check.
Preferred Qualifications & Experience
- Experience and/or formal training in outdoor education, particularly managing large groups ( 14+ people) in multi-day outdoor settings.
- Possess sufficient technical skills to travel safely (unguided, with friends or colleagues of equal or lesser technical skills) on hiking trails, and walk roped and unroped on a glacier.
- A Wilderness First Aid (or equivalent minimum 40 hour course) and CPR certification prior to expedition date.**
- FOODSAFE Level 1 or higher certification, or willingness to complete an online course.
- Understanding of, and alignment with, Inspiring Girls* Expeditions philosophy.
** We recognize that training expenses can be a barrier to selection for this position. At this time we cannot fund first aid training, but we are happy to support a potential candidate who wishes to seek grants for this training. If that is the case, please inform us of your plans for funding training prior to the expedition start
