Responsibilities
- Financial Administration : Manage invoicing and accounts receivable (AR), ensuring timely payments and accurate records.
- Set up and maintain job codes for various client projects.
- Assist with summarizing financial information and preparing reports and schedules, often in PDF format.
- Client and File Management : Assist with the client intake process, including preparing engagement letters and performing conflict checks.
- Set up and manage secure client portals for document uploads.
- Organize and maintain client correspondence and files, particularly within Caseware.
- Set up files and manage multiple project deliverables to meet deadlines.
- Administrative and General Support : Review documents for spelling and grammar to ensure high-quality, professional communication.
- Utilize strong Word and Excel skills for various tasks, including data management and document creation.
- Communicate effectively with clients and team members.
Qualifications
- Proficiency in Microsoft Word and Excel is essential.
- Experience with Caseware or similar accounting software is highly desirable.
- Exceptional organizational skills and meticulous attention to detail.
- Ability to manage multiple tasks and deadlines effectively in a fast-paced environment.
- Proficient in English with a good command of French is a must.
- Experience in an administrative or bookkeeping role is preferred.
- Location in or near Ottawa is ideal.
