Work Arrangement: Onsite

Employment Type: Part-time, permanent

Hours: 15 hours per week

Schedule: Monday to Friday, 9:00 AM – 12:00 PM

Compensation: $22 CAD per hour

In our fast-paced, growth-oriented tech company, the ideal candidate will have a "roll up the sleeves" attitude to ensure tasks are completed efficiently. They should be passionate about working directly with employees and leaders. This permanent position is non-remote, and while it offers flexible part-time hours, it requires on-site presence at our Toronto office.

The role is ONLY open to candidates who are committed to part-time hours.

Pay and vacation: this role offers a monthly salary (for the part-time hours) and can accrue up to 2 weeks of paid vacations for the whole year.

What you’ll do:

Office Management and Administration:

  • Create a welcoming environment for employees and clients by greeting visitors, managing check-ins, desk bookings, and phone systems, as well as handling all incoming and outgoing courier packages and mail.
  • Oversee the ordering and inventory of all office supplies, such as coffee products, printer supplies, and kitchen supplies, ensuring all recurring office maintenance is scheduled and completed, and maintaining office vendor relationships.
  • Manage all incoming requests related to in-office issues and inquiries, coordinating with building property management to address facilities issues and repairs as necessary.
  • Implement and enforce office policies, including health and safety standards.
  • see the office management budget, collaborate with Finance to reconcile expenses, manage signature requests, coordinate cheque deposits and payment processing, follow up on invoices, and record expenses

Event Coordination and Travel Arrangements:

  • Assist with planning employee engagement events at the head office, abroad and remotely.
  • Organize executive meetings both on‑site and off‑site, handle travel bookings as needed, maintain the planning calendar, and process expense reimbursements.

People & Culture Support:

  • Support HR tasks, including preparing new‑hire swag and managing employee equipment shipping and returns.
  • Organize monthly HQ days and remote activities like icebreakers, trivia, and holiday events.

What you’ll need:

  • The ideal candidate will possess strong organizational skills and keen attention to detail, along with professional-level verbal and written communication abilities.
  • They should be self-driven, capable of prioritizing their daily workload effectively, and exhibit a proactive approach to problem-solving with strong decision-making skills.
  • Demonstrated experience as an Administrative Assistant or in a similar administrative support role, with proficiency in Microsoft 365, particularly Outlook.
  • Experience in assisting C‑Suite executives is a plus.
