Our Corporate Services team based in our Toronto Head Office manages our finance, human resources, back office, administration and IT support services for our global employees, customers and stakeholders.

We are hiring for an Office Administrator that can help with managing the new employee onboarding processing and providing day-to-day technical, operational and back office support. This role is not a pure IT support role, we have a dedicated IT Support vendor, rather a technical facilitator that can work with users and the vendor to ensure that all employees possess the correct hardware, software, applications, complete cyber security training and understand compliance.

Role and responsibilities
Office and FacilitiesAdministration
  • Officeadministration / reception – filing, answering phone calls etc.
  • Place monthly orders for food, snacks and office supplies.
  • Mailing and shipping.
  • Maintain plants.
  • Manage the office facilities and maintenance vendors.
  • Identify and execute cost savings initiatives.
  • Provide secondary support for travel and internal / external event coordination.
  • Assisting HR during the new employee onboarding process
ITSupportAdministration
  • Monitor and support help desk ticket resolution (delivered through 3rd party IT vendor).
  • Maintain hardware inventory and documentation ofITequipment issued (Asset Management).
  • Assist with technology onboarding of new colleagues (user setup, configuration & compliance).
  • MonitorIToutsourcing Company SLA and Satisfaction Performance.
  • Password Management.
  • Cyber Security Training and Compliance Monitoring.
Skills and qualifications
  • A college diploma or certificate in businessadministration, officeadministration, or anIT-related field (such as computer science or information technology) is an asset.
  • 5+ years’ experience of supporting the office andITenvironment.
  • Proficiency in Microsoft Office suites and other office technology.
  • Comfortable working in a fast-paced environment.
  • Strategic planning and business development skills.
  • Experience supporting company events for internal staff and vendors.
  • Exceptional leadership, organizational, and time management skills.
  • Excellent interpersonal and communication skills.
  • Strong analytical and problem-solving skills.
  • Some experience withITsystems, networks, and related technologies.
  • Some knowledge of best practices inITadministration and system security.
  • Some knowledge of deploying and enforcing security policies and procedures.

This position is based in our Toronto office 5 days a week reporting to our Deputy Chief of Staff. There will be a lot of variety of work, scheduling of tasks, handling of ad hoc requests and projects that will keep you busy.
