Overview
As a Mortgage Broker Executive Assistant, you will support a top producing Mortgage Broker in meeting sales objectives and related activities by providing value added administrative service and support. Provides primarily responsive client contact management. Develops relationships with service partners to ensure operational guidelines are adhered to and transactions are processed efficiently.
What will you do?
- Consistently provide superior responsive service to client fax / e-mail / telephone requests
- Managing social media.
- Calling new leads and existing customer database to book appointments with the mortgage broker.
- Managing Mortgage Broker’s telephone/e-mail/mail, proactively responding to correspondence/requests.
- Managing files from the time they are approved by the lender until all of the lender’s conditions are met on the mortgage approval and the file is ready for funding.
- Updating the client mortgage files to outline the outstanding conditions on the file in CRM to keep other team members aware of the relevant details of the active mortgage file.
- Following up on documentation within four business hours of receipt.
Submitting the required documentation to lenders to fulfill all outstanding conditions of mortgage approvals.
- Preparing approval packages for clients once mortgage commitments are received from lenders.
- Ordering and reviewing client appraisals.
- Reviewing and satisfying lender and compliance requirements for consent, mortgage commitment, disclosure, amortization, and other relevant documents required for funding the mortgage.
- Receiving, reviewing, and approving supporting documentation from borrowers.
Verifying asset statements to satisfy lender down payment verification requirements.
What do you need to succeed?
- 1-2 years of demonstrated excellence in a service and sales support role working in collaboration with a sales team providing advice and responding to client requests.
- Exceptional customer service skills.
- Excellent communication skills, oral/written skills, good business writing.
- Strong organizational skills with the ability to multi-task and prioritize.
- Strong computer skills in Microsoft Office including Word, Power Point, Excel, Outlook.
- Experience with emerging communications and technology (i.e., web based meetings, social media, digital banking, and mobile applications).

Job Details
- Job Type: Part-time
- Pay: $18.00-$21.00 per hour
- Expected hours: 20 – 30 per week
- Additional pay: Bonus pay
- Schedule: Monday to Friday; Weekends as needed
- Education: Bachelor\'s Degree (preferred)
- Experience: service and sales support role : 1 year (preferred)
