What You’ll Do

As the Marketing Project Manager, working closely with the Director of Marketing and Communications, you’ll support the execution of our strategies by operationalizing and overseeing day-to-day marketing activities, and ensuring campaigns, communications, and marketing efforts stay on track. You will also be responsible for quality control of marketing materials prior to final approvals.

Key Responsibilities

  • Operationalizing Strategy & Project Coordination: Translate high-level marketing strategies into actionable plans for the team.
  • Delegate tasks and track progress in project management tools against key deliverables, flagging issues or roadblocks as needed. Follow up with team members to ensure deliverables stay on track.
  • Maintain and update marketing calendars, communication schedules, task lists, project timelines and KPI tracking.
  • Coordinate efforts across a small team under the Director of Marketing and Communications, including social media outreach, events, ad buys (digital and traditional), community presentations, Accredited Business communications, consumer communications, partner management, Torch Awards and Promotion of the BBB Engagement Centre.
  • Ensure work of junior team members aligns with key messages and organizational goals and timelines.

Marketing, Communications & Programs:

  • Support planning and review of engaging content for email newsletters, blogs, press releases, and other channels.
  • Review written and visual content for spelling, grammar, brand compliance and overall quality control.
  • Ensure messaging is consistent, mission-aligned, and resonates with key audiences.
  • Review social calendars for adherence to key messaging and monitor social media platforms for quality control.
  • Collaborate with other departments to support integrated marketing and communication efforts.
  • Manage external partner relations, delegating deliverables to team members as required.
  • Serve as the point person for external vendors or partners involved in marketing, events or communications initiatives (including Torch Awards, Partners and Sponsors).
  • Support execution of projects and events, including on-site support with the Events Coordinator as needed.
  • Assist with ad buys as required.

Team Leadership & Communication:

  • Provide regular updates, reports, and insights to the Director of Marketing and Communications to ensure alignment and progress.
  • Support and guide team members, assign tasks, and foster accountability.
  • Facilitate team meetings and check-ins to keep everyone aligned and informed.

Administration and Reporting:

  • Manage meeting minutes, organize digital files, and transfer action items into project management software.
  • Monitor campaign and social media performance, and prepare reports for the Marketing Director and executive leadership.
  • Analyze analytics (website, newsletter, social, etc.) and provide recommendations for adjustments.
  • Handle administrative tasks related to project and campaign management.

  • Eligibility Requirements: Occasional evening and weekends may be required; MS Office, Google Docs, project management software, social media tools, Canva proficiency; excellent communication and people skills; ability to multi-task and meet deadlines; understanding of office management and marketing principles.
