Job summary

A recruitment agency in Canada is seeking a highly organized Executive Assistant to support the CEO and President of a U.S. portfolio company. Responsibilities include managing schedules, coordinating travel, and supporting overall office efficiency. Ideal candidates will have 3+ years of relevant experience, exceptional organizational skills, and the ability to manage multiple priorities in a fast-paced environment. A valid driver's license and a reliable vehicle are also required for this role.

Qualifications

  • 3+ years of experience as an Executive Assistant or in a similar administrative role.
  • Exceptional organizational and time management skills.
  • Professional-level written and verbal communication skills.
  • High attention to detail with the ability to multitask in a fast-paced setting.
  • Strong proficiency with Google Workspace and/or Microsoft Office.
  • A high level of integrity, discretion, and reliability.
  • Valid driver’s license and access to a reliable vehicle (required).

Responsibilities

  • Manage and optimize the CEO’s calendar, email, and meeting coordination.
  • Coordinate complex travel arrangements, itineraries, and logistics.
  • Prepare and edit internal and external correspondence, presentations, and reports.
  • Track follow-ups, ensure deadlines are met, and keep the CEO focused on top priorities.
  • Liaise with internal departments and external partners.
  • Maintain confidentiality and professionalism at all times.
  • Coordinate logistics for internal meetings and events.
  • Support general office administration, including printing and filing.
  • Greet and host guests and visitors to the Executive Office.
  • Conduct research and gather information to support decision-making.
