We are seeking a highly capable Executive Assistant & Office Manager to support the CEO and leadership team while overseeing day-to-day office and administrative operations.

This role is critical to keeping leadership focused, operations organized, and the company running smoothly as we scale. The ideal candidate is detail-oriented, resourceful, and comfortable balancing strategic executive support with hands‑on operational responsibilities.

Key Responsibilities
  • Executive Support (Primary Focus)
  • Manage complex executive calendars, scheduling, and meeting coordination
  • Coordinate domestic and international travel across multiple time zones
  • Prepare executive materials including presentations, briefing documents, and meeting agendas
  • Serve as a trusted gatekeeper and liaison with investors, partners, customers, and internal teams

  • Oversee daily office operations and facilities management
  • Manage office vendors (IT support, facilities, security, supplies, service providers)
  • Coordinate onboarding and offboarding logistics for new hires
  • Track office-related budgets, invoices, and expenses
  • Maintain organized office systems, policies, and documentation
  • Support internal meetings, leadership offsites, and company events
  • Cross‑Functional & Ad Hoc Support
  • Partner with Finance, HR, and Operations on administrative initiatives
  • Assist with internal communications and coordination across teams
  • Support special projects related to company growth and operational readiness
Qualifications
  • Relevant experience as an Executive Assistant, Office Manager, or hybrid role is considered an asset
  • Relevant experience supporting senior executives, ideally in a startup or growth‑stage environment
  • Strong organizational, time‑management, and prioritization skills
  • Excellent written and verbal communication
  • High degree of discretion, judgment, and professionalism
  • Comfortable working independently in a fast‑paced, execution‑driven environment
  • Proficiency with Google Workspace / Microsoft Office and scheduling tools
Nice to Have
  • Experience in infrastructure, technology, mining, or industrial environments
  • Prior exposure to data centers, cloud, telecom, or hardware‑focused companies
  • Experience supporting a CEO or founder
  • Light HR, finance, or vendor‑management experience
