Position Overview

As the senior administrative employee within the portfolio, you will provide administrative support to the Chief Operating Officer. You will organize and prioritize independently the secretarial and administrative activities for the COO and ensure all work is completed within established timeframes. Your tasks will include typing, formatting, and proofreading various types of material including correspondence, minutes, agendas, and manuscripts. You will also develop, maintain, and update databases, create spreadsheets, perform data collection and entry, support analysis, and assist with preparing reports. You will review, evaluate, and recommend new office and administrative procedures to improve efficiency and quality of service, and prepare and maintain policies and procedures for the portfolio’s administrative activities.

Experience
  • Five years’ experience in a senior administrative position.
Education (Degree/Diploma/Certificate)
  • Completion of a high school or equivalent program of studies; formal training in applied office skills is required.

  • Proficiency with computerized systems (Microsoft Word, Access, PowerPoint, and Excel) is essential.
  • Experience with e-mail and computerized calendars.
  • Typing speed 60 wpm.
  • Demonstrated ability to organize, assign, and supervise the work of junior employees.
  • Experience in scheduling and coordinating meetings.
  • Ability to compose correspondence on behalf of senior managers.
  • Experience recording and preparing minutes and agendas.
  • Excellent communication skills, verbally and in writing.
  • Ability to prioritize a large workload and independently complete a variety of administrative duties.
  • Ability to work in a fast‑paced corporate environment and work effectively under pressure to meet deadlines.

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check, and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
