The Opportunity

We’re looking for a highly capable Executive Assistant to be the operational backbone of our Toronto office. This hybrid role blends executive-level support with office and facilities management, supporting senior leadership while ensuring the office runs smoothly day to day.

If you’re someone who anticipates needs before they arise, stays calm in a fast-paced environment, and enjoys juggling multiple priorities with precision, this role is for you.

Responsibilities
  • Serve as a trusted partner to the President and up to five additional executives
  • Own complex calendar management with a proactive approach to planning recurring meetings and annual business milestones
  • Coordinate travel, meetings, and logistics, including materials, agendas, and follow-ups
  • Maintain executive planning tools and travel worksheets, adjusting plans as priorities shift
  • Manage executive expenses and corporate credit cards using Expensify/Concur
  • Support leadership meetings by preparing presentations and agendas (SLT, business reviews, townhalls)
  • Act as a key point of contact between executives, internal teams, and external partners
  • Administer DocuSign and support internal approvals and documentation workflows
  • Assist with internal initiatives such as engagement awards, company events, and social activities
  • Oversee daily office operations, facilities, and vendor relationships
  • Ensure health and safety standards are met and maintained
  • Manage office services, supplies, and overall workplace experience
Qualifications
  • 5+ years of experience supporting senior leaders in an Executive Assistant or similar role
  • Strong judgment and discretion when handling confidential and time-sensitive matters
  • Proven experience managing complex calendars across multiple time zones
  • A proactive, business-minded approach with the ability to anticipate leadership needs
  • Clear, confident communication skills with internal and external stakeholders
  • Comfort navigating technology and tools (MS Office, expense and travel platforms)
  • Experience with AI tools such as Microsoft Copilot is an asset
  • Highly organized, detail-oriented, and adaptable in a fast-moving environment

Compensation-$80-$85k, experience based.
