Overview
Our client located in Markham requires an Executive Assistant to join their team. The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Key Responsibilities
- Provide comprehensive administrative support to senior leadership.
- Maintain organized filing systems (digital and physical).
- Prepare and review documentation, reports, presentations, and correspondence.
- Assist with annual reporting and financial documentation requirements.
- Safeguard confidential records and organizational materials.
- Update and maintain policy manuals and internal corporate records.
- Manage office-related records, petty cash, and organizational charts.
- Draft, edit, and coordinate business and legal documents.
- Oversee office operations to ensure a professional and efficient environment.
- Manage procurement and setup of office supplies and furnishings as needed.
- Support compliance, regulatory, and reporting obligations.
- Process recurring reimbursements and expense submissions for executives.
- Coordinate company-wide communications and special correspondence.
- Provide support for internal and external meetings (agendas, minutes, logistics).
- Contribute to ad hoc administrative tasks and special projects as required.
Qualifications & Skills
- 5+ years of experience in a senior administrative or executive support role.
- Proficiency with Microsoft Office Suite; ability to learn and apply new technologies.
- Strong written and verbal communication skills.
- Demonstrated judgment, discretion, and problem-solving ability.
- Highly organized with strong attention to detail.
- Flexible, proactive, and resourceful with a hands-on approach.
- Independent worker who also thrives in a collaborative team setting.
- Strong relationship-building skills across all organizational levels.
- Professional, approachable, and supportive in interactions with colleagues.
