We are seeking a dedicated and detail-oriented Event Coordinator to join our Events Team. Supporting the Event Services Supervisor you will plan, book and execute exceptional events at both The Glencoe Club and Glencoe Golf & Country Club. You will focus on delivering a high level of customer service in planning and organizing of events that meets or exceeds member expectations.

Responsibilities
  • Play a pivotal role in booking and coordinating corporate meetings, weddings, celebrations of life, social gatherings and internal sports league events
  • Serve as a key point of contact for event inquiries, ensuring a seamless booking experience
  • Create and manage comprehensive Banquet Event Orders (BEOs) that detail every element, from setup specifics to food & beverage selections to AV needs, décor, and precise timelines
  • Oversee and support flawless event setups to guarantee smooth execution and exceptional guest satisfaction
  • Lead post-event follow-ups, ensuring timely payment finalizations and capturing valuable feedback for future improvements
  • Prepare and distribute the Weekly BEO Package & Events Sheet, keeping all relevant departments informed and on track
  • Drive efficiency by ensuring timely Banquet POS updates and assisting in the creation of daily, weekly, monthly, and annual event reports
  • Collaborate closely with the Event Services Supervisor, Food & Beverage teams, and other key departments to deliver outstanding events at both clubs
Qualifications
  • Minimum 2 years of experience in an event coordination role

  • Experience with event booking systems (e.g., Northstar, Birchstreet) is an asset

Additional Details

This is a Full-Time Salaried position that reports to the Events Services Supervisor. The successful candidate will require reliable transportation between both clubs and may be required to work a variety of shifts on occasion including weekdays, evenings, weekends and holidays based on the nature of the business.

The successful applicant will be required to complete a background check as well as Respect in the Workplace and certification prior to commencing employment.
