Position Summary
Microserve is seeking a proactive and highly organized Corporate Services, Team Lead to provide direct support to one or two members of the executive team while leading a Corporate Services function. This is a hybrid working position with a mix of in-office and working from home days within the Greater Vancouver area. This role reports directly into the Vice President of People & Culture with a dotted line to our President and Chief Operating Officer (COO).
As the Corporate Services, Team Lead you will be managing a small team of 2-3 administrative and executive assistants, optimizing workflows, and supporting strategic planning initiatives led by the President & COO. The successful candidate will also oversee general office administration duties and ensure the smooth operation of day-to-day support services. They will support the execution of strategic initiatives, to ensure alignment with company objectives and facilitate smooth transitions during key projects for the Executive Team.
Key Responsibilities:
Executive Support
Provide direct administrative support to assigned executives, such as calendar management, travel coordination, and expense reporting.
Assist in preparing presentations, formatting documents, and organizing meeting materials.
Support the President in organizing and facilitating meetings and events related to strategic planning.
Coordinate with department leaders, managing day-to-day operations, and overseeing special projects.
Own the end-to-end process of managing the executive team’s actionable items arising from meetings, strategy sessions, and ongoing projects. Track progress and deadlines, provide regular status updates to executives, and ensure timely resolution of outstanding tasks.
Team Leadership
Manage and mentor a team of administrative and executive assistants.
Assign and distribute work based on specialization (e.g., calendar management, expenses, travel, companywide communications, meetings and preparing for meetings with necessary information, and synthesizing information for decision-making).
Lead training, onboarding, and performance management for the team.
Foster a culture of collaboration, excellence, and continuous improvement.
Lead, mentor, and develop a high-performing team of executive assistants and administrative assistants, fostering a culture of excellence, collaboration, and continuous improvement.
Oversee team recruitment, onboarding, professional development, and performance management.
Implement and refine processes to optimize scheduling, minimize conflicts, and accommodate shifting priorities. Establish protocols for expense and travel management in accordance with company policies and best practices.
Corporate Services & Office Administration
Oversee general office administration duties such as supplies, facilities coordination, and vendor management.
Ensure consistent and efficient support services across the organization.
Develop and refine processes for scheduling, communication, and task management.
Serve as the primary liaison between the executive team and internal/external stakeholders, facilitating communication
Perform other duties are required
Qualifications:
Bachelor’s degree in a related field is considered an asset
5+ years of experience in executive or administrative support, with at least 2 years in a supervisory or team lead role.
Proficiency in Microsoft Office and collaboration tools.
Proven track record of supporting C-suite executives and driving strategic initiatives to completion.
Experience in organizing and directing multiple teams and departments
Experience in planning and leading strategic initiatives
Excellent written and verbal communication skills

Compensation:At Microserve we aim to pay fairly alongside the various geographical location our employees reside in across Canada. Therefore, our salary range for this role is between $65,000 to $75,000 per year with variable compensation component. The final salary offered will be based on a combination of your skills, experience, location, competencies, and internal pay equity.
