Client Support Coordinator – Regulatory Affairs

Arora 297 Consultancy is a regulatory affairs firm specializing in compliance solutions for medical devices, natural health products (NHPs), food, cosmetics, and pharmaceuticals across Canada, the US, and international markets. We assist clients with Health Canada licensing, FDA registrations, import/export compliance, and audit preparedness. We are seeking a motivated Client Support Coordinator to join us in delivering exceptional client service and operational excellence.

Key Responsibilities
  • Act as the first point of contact for client inquiries and provide timely updates on project status.
  • Support consultants with documentation collection, data entry, and regulatory submission coordination.
  • Maintain and organize project trackers, timelines, and compliance records (e.g., OTC, MDL, MDEL, NHP, Site Licence, Cosmetic and CFIA submissions).
  • Assist in preparing and reviewing forms, checklists, and applications to ensure accuracy and compliance with Health Canada / FDA guidelines.
  • Coordinate internal and client meetings; prepare agendas, minutes, and follow-ups.
  • Collaborate with cross-functional partners on client onboarding, project scoping, and billing support.
  • Monitor regulatory updates and share relevant information with clients and internal teams.
  • Ensure a positive client experience by proactively identifying and addressing potential issues.
Qualifications and Experience
  • Bachelor’s degree or diploma in Life Sciences, Regulatory Affairs, Business Administration, or a related field.
  • 1–3 years of experience in regulatory affairs, quality assurance, or client service in healthcare / life sciences (preferred).
  • Strong written and verbal communication skills (English; French is an asset).
  • Familiarity with Health Canada, FDA, and / or international regulatory requirements is an asset.
  • Excellent organizational and multitasking abilities with attention to detail.
  • Proficiency in MS Office Suite; experience with project management tools (e.g., Trello, Asana, Excel trackers) preferred.
  • Client-focused mindset with strong problem-solving and interpersonal skills.
