The Opportunity
Reporting directly to the CEO, this role sits at the heart of our global operations. As Chief of Staff & Executive Operations Manager, you will be responsible for managing executive workflow, enabling strategic decision‑making, and ensuring the CEO’s time, priorities, and communications are aligned with the needs of the business. This is a unique opportunity to partner closely with the CEO on both day‑to‑day execution and long‑term planning. The Role
The business is led by a world‑class founding team of experienced operators, exited founders, and senior executives. We’re looking for someone who is both strategic and hands‑on—someone who can support the CEO in planning and decision‑making while also rolling up their sleeves to manage day‑to‑day administrative, HR, and operational functions. This role spans global HR leadership, administrative management, executive support, internal communications, and policy governance. You will act as the connective tissue between staff and senior leadership, ensuring clarity, accountability, and alignment across the organization.
Your experience working in both the UK and Canada is central to this role, as Bureau continues to expand operations in Europe. Your knowledge of regional employment practices, workplace standards, and cross‑border operations will guide our growth and ensure compliance across jurisdictions.
Key Responsibilities
- Executive Support, Planning & Communication
- Manage the CEO’s day‑to‑day schedule, priorities, workflow, and communications to ensure alignment with strategic objectives
- Prepare briefing notes, executive summaries, and communication materials to support meetings, decisions, and external engagements.
- Coordinate follow‑ups, track action items, and ensure the CEO’s directives are clearly communicated and executed across the business.
- Act as a communication filter and liaison, ensuring that staff and leaders receive timely, accurate information from the CEO’s office.
- Support short‑ and long‑term planning, helping the CEO organize priorities, structure initiatives, and maintain focus across rapid growth cycles.
- Represent the CEO in discussions when required and ensure continuity of leadership communication.
- Administrative Leadership & C‑Suite Support
- Provide administrative and operational support to the CEO and C‑suite, including preparing reports, dashboards, and slide decks.
- Lead cross‑functional coordination, ensuring the leadership team remains aligned and informed.
- Oversee executive workflows, meeting planning, and business rhythms (e.g., leadership meetings, board prep, OKR processes).
Global HR Management (Canada, USA, UK & Australia)
- Own and manage all global HR activities, including onboarding, offboarding, employee relations, performance processes, and workforce compliance.
- Ensure adherence to employment legislation, workplace policies, and HR best practices across multiple regions.
- Provide guidance to staff and managers on HR procedures, conflict resolution, benefits, and workplace expectations.
- Support the CEO and leadership team with workforce planning, organisational design, and recruitment coordination.
Policy, Governance & Compliance
- Develop, maintain, and continually improve company policies, procedures, and internal guidelines.
- Monitor organisational compliance and ensure staff are following established processes and standards.
- Identify process gaps and implement improvements to strengthen operational governance and reduce risk.
Culture, Communication & Leadership Support
- Act as a trusted point of contact for employees, promoting transparency and strengthening communication between teams and leadership.
- Support culture initiatives, engagement efforts, and internal communication strategies.
- Ensure information flows effectively across departments and that leadership priorities are clearly communicated.
International Experience & Expansion Support
- Apply knowledge of both UK and Canadian employment practices, workplace norms, and regulatory frameworks to support the company’s expansion into the UK and Europe.
- Provide guidance on cross‑border operations, ensuring smooth alignment between regions.
- Prepare leadership with insights, risks, and requirements related to international scaling.
What We’re Looking For
- 5+ years of experience in administrative leadership, HR operations, or Chief of Staff roles in fast‑growing, global organisations.
- Strong understanding of HR best practices and employment regulations across Canada and the UK (additional regions an asset).
- Proven experience supporting C‑suite executives in a fast‑paced environment.
- Demonstrated ability to create policies, manage compliance, and improve operational processes.
- Exceptional communication skills, with the ability to engage with staff at all levels and represent the CEO with professionalism.
- High degree of discretion, judgement, and organisational acumen.
- A proactive problem‑solver with strong attention to detail and the ability to juggle diverse priorities.
