Job description
Position Overview

Manage comprehensive bookkeeping, accounting, and clerical functions for a small, hands-on mushroom cultivation and packing operation. This role supports production costing, inventory tracking, vendor and customer transactions, payroll, and financial reporting—crucial for helping our farm maintain financial clarity and scalability.

Responsibilities
  • Perform daily bookkeeping tasks, including accounts payable and accounts receivable management
  • Prepare journal entries and maintain the general ledger
  • Conduct balance sheet reconciliation and general ledger reconciliation
  • Assist in the preparation of financial reports, ensuring accuracy and compliance with financial concepts
  • Utilize accounting software such as QuickBooks or similar tools for efficient record-keeping
  • Conduct account analysis and assist with budgeting processes
  • Support tax-related activities and ensure timely filing of necessary documents
  • Maintain organized records for governmental accounting requirements when applicable
  • Execute bank reconciliations to ensure accuracy in financial statements
  • Collaborate with team members to improve accounting processes and workflows
  • Maintain organized electronic and paper financial filing systems, including imaging and archiving of invoices, packing data, and audit documentation
  • Liaise with vendors, growers, and suppliers to resolve invoice discrepancies and payment issues
  • Support month-end and year-end closing, assist with external audits, and help with periodic financial projects
  • Track inventory of raw materials (substrate materials, spawn) and finished products (harvested mushrooms), and assist with production yield cost tracking
  • Reconcile vendor grower costs and supplier invoices, ensuring accurate cost allocation
  • Process daily weight and product receipt reports, create invoices for wholesale customers, and manage associated AR documentation
  • Generate packing slips for outgoing orders and assist in order setup—especially useful during busy shipping periods
Qualifications & Requirements

Education & Experience

  • Post-secondary diploma or degree in Accounting, Business, Finance, or related field—though a strong combination of education and relevant experience is acceptable
  • Minimum 1–3 years of bookkeeping or accounting experience. Experience with agriculture, produce, packing, or small-scale manufacturing is a valuable asset.

Technical Skills

  • Proficiency in accounting software such as QuickBooks, Sage, etc. Familiarity with agricultural or packing-related systems is a plus
  • Strong Excel skills, comfortable with spreadsheets for tracking yields, inventory, and AR/AP data
  • Excellent organization, attention to detail, and ability to meet deadlines consistently

Soft Skills

  • Comfortable working in both office and greenhouse/packing environments, possibly handling light physical tasks (e.g. lifting packing supplies)
  • Strong communication skills—able to coordinate with growers, vendors, and team members
  • Self-motivated, flexible, and comfortable in a dynamic startup environment with shifting priorities
