Administrative Services Manager OON – PCVRS - Lifemark Health Group

Location: Remote

As the Administrative Services Manager for the Out of Network (OON) Administrative Team, you will oversee onboarding external users to Lifemark IT systems. This role is a vital part of Lifemark’s Rehabilitation Services and Vocational Assistance Program (RSVP), delivered on behalf of Veterans Affairs Canada. The Administrative Manager for OON is passionate about developing a motivated, diverse, and engaged team of Administrative Coordinators.

Primary Responsibilities

  • Manage a small team of Administrative Coordinators supporting our Out of Network (OON) providers.
  • Support service delivery by acting as a central contact for OON providers regarding work for Participants.
  • Respond to email inquiries and telephone calls with excellent customer service.
  • Onboard OON providers onto the Lifemark IT system for claims processing.
  • Follow-up on invoice inquiries.
  • Track and update data spreadsheets daily.
  • Provide administrative support as needed.
  • Provide leadership and foster a sense of belonging within your team.
  • Build and train your team to meet work demands, supporting and mentoring new members.
  • Generate weekly reports based on team tracking.
  • Participate in meetings with other Team Managers.
  • Manage complaints and escalations effectively.

What You Bring

  • Post-secondary certificate or diploma in Business Administration, Medical Office Administration, or a related field.
  • At least one (1)+ year of experience in an administrative role.
  • Excellent customer service skills and telephone etiquette.
  • Strong organizational skills with the ability to prioritize and multitask.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office, MS Teams, and SharePoint.
  • Bilingual in French and English is an asset.
  • Employment is conditional on obtaining federal security clearance – Reliability Status.
