You have
  • At least 3 years of administrative and/or clerical support experience supporting management
  • General knowledge of budgeting and purchasing processes
  • Advanced proficiency in all MS Office suite of applications
  • Good organization and time management skills while maintaining high quality standards

Nice to have

  • Budget perceptiveness excellent knowledge of expense policies and procedures
  • General knowledge of relevant acts (e.g. Assessment Act Municipal Act Education Act)
What you will do
  • Receive review and distribute all correspondence and follow up on all outstanding issues as well as set up and maintain electronic and paper filing systems
  • Respond to routine enquiries and draft responses in a professional manner
  • Post and maintain departmental content on the Internet and Intranet
  • Organize content for presentations reports bulletins memos and correspondence accessing information from various sources (e.g. corporate reports locally relevant statistics)
  • Proofread and edit all material for accuracy and adherence to MPAC standards
  • Schedule meetings maintain the Directors appointment calendar coordinate other meeting logistics and make travel arrangements as required
  • Coordinate gather and assimilate data from management team for reporting on Balanced Scorecard objectives and other department metrics
  • Provide financial services support to the team which includes inputting data into financial system (SAP) monitoring and reconciling monthly expenditures submitting expense claims and generating reports
  • Conduct month-end reconciliation including verification of payments and Department IDs comparison to forecasts and verification of purchasing card and cell phone statements
