Key responsibilities
  • Provide confidential administrative support to both the HR and Finance teams.
  • Provide administrative support for calendar management, documentation, presentation/meeting material preparation, travel arrangements, and tracking/submitting expenses.
  • Assist in managing supply chain related processes.
  • Perform administrative duties related to data entry and documentation processing.
  • Create and maintain process documentation; identify opportunities for efficiencies and process improvements.
  • Provide cross-functional support and backup to various team members as required.
  • Support activities and presentations hosted by the teams, including sending invites and reminders, monitoring attendees, booking rooms, and distributing materials.
  • Develop process documents related to internal department processes administered by this position.
  • Support HR & Finance projects and initiatives as required.
  • Maintain confidential filing systems for Human Resources employee files.
  • Respond to information or assistance requests as needed.
  • Other related duties.
Professional Qualifications & Competencies
  • Post-secondary education in office administration, human resources, business, or an equivalent combination of education and experience.
  • Minimum of three years of administrative support experience, preferably in a human resources field.
  • Advanced skills with the Microsoft Office suite (Excel, Word, PowerPoint).
  • Excellent organizational skills with the ability to coordinate a high volume of tasks and maintain version control of documents.
  • Collaborative team player with effective communication and interpersonal skills.
  • Attention to detail and ability to work under pressure and meet deadlines.
  • Commitment to integrity and confidentiality.
  • Resourceful, reliable, and quick to learn; adaptable to workflow and volume changes.
  • Ability to prioritize, seek direction when needed, and work both independently and with others.
  • Strong problem-solving skills and ability to troubleshoot as needed.
  • Excellent verbal and written communication skills; ability to enhance communications and reports when required.
  • Professional, courteous demeanor and respect for confidential information.
