As an Administrative Assistant, you will be an integral part of a collaborative, inter-disciplinary team focused on delivering seamless services and programs to our clients and customers. Responsibilities
  • Schedule of meetings and appointments
  • Reception duties, take voicemails, and ensuring messages are communicated and documented
  • Circulate minutes/memos/letters/correspondence for team members
  • Coordinate & prepare for meetings (room bookings, catering requests, set up materials needed, create agenda items, record and distribute minutes)
  • Create, record, update, and print various daily, monthly, quarterly, and yearly reports
  • Complete and update group/project lists, team members lists, FANOUT lists, and nominal lists
  • Arrange for signatures on confidential documents and manage confidential information
  • Scan confidential documents to client files
  • Prepare presentation
  • Daily timekeeping in Kronos
  • Participate in Health & Safety inspections
  • Process monthly expense reports
  • Clinical flow specialist administrative duties
  • Coverage of other programs within HHC as required
  • Work within multiple electronic documentation platforms
Qualifications
  • Post-secondary education in a relevant field
  • 3 years’ experience in an administrative support role, with the knowledge, experience, and confidence to work independently
  • Excellent Microsoft Office suite skills with demonstrated ability to produce
  • Creative PowerPoint presentations
  • Excellent written and verbal communication skills
  • Strong problem solving skills
  • Diplomatic, analytical, and detail oriented
  • Great work ethic, and commitment to excellence
  • Team player with a positive outlook, and a good sense of humour
