Documentation Squad

The incumbent for this position can be located in multiple locations. Position Purpose

The Documentation Squad is responsible for ensuring the quality, consistency, and timely delivery of critical project documentation. You will act as a bridge between project managers, content creators, and the quality management system, managing the end-to-end lifecycle of documents.

Your Tasks and Responsibilities

Content Guidance & Quality Review

• Facilitate the document review process by providing expert guidance on content structure and formatting.
• Ensure all deliverables—including Data Migration Plans (DMP), Functional Mapping Designs (FMD), and Data Validation Notes (DVN)—meet organizational standards for clarity and consistency.
• Act as the primary gatekeeper for document quality before they enter the formal approval workflow.

Project Timeline & Stakeholder Alignment

• Synchronize documentation milestones with broader project and rollout schedules.
• Partner closely with Project Managers and Document Owners (DMOCs) to track progress.
• Proactively follow up with content creators to mitigate delays and ensure all required materials are delivered on schedule.

Workflow & Approval Management

• Own the document approval workflow, ensuring a seamless transition between review stages.
• Monitor pending actions and engage with designated approvers to ensure deadlines are met.
• Identify and resolve bottlenecks in the approval process to maintain project momentum.

Document Management Systems (ValGenesis) Support

• Serve as expert for ValGenesis tool, assisting team members with the correct uploading and indexing of documents.
• Ensure proper folder placement, entity tagging, and accessibility for all project deliverables.
• Maintain the integrity of the document repository to ensure audit readiness.

Who you are:

Required Skills & Experience

• Overall 5+ years of experience with preferred experience in documentation & any assignments done around change management.
• Familiarity with documentation tools, methodologies, and best practices.
• Strong ability to manage multiple timelines and hold stakeholders accountable for deadlines.
• A "sharp eye" for formatting inconsistencies and grammatical errors.

Soft Skills

• Proactive Communication: Ability to follow up with busy stakeholders in a professional and persistent manner.
• Time Management: Superior time-management skills to align documentation with shifting project rollouts.
• Collaboration: Comfortable working across different departments (Project Management, DMOCs, and Quality Assurance).
• Excellent knowledge of relevant best practices and standards related to documentation.
• Excellent problem-solving, analytical, and organizational skills.
• Strong communication skills with the ability to work effectively across teams, levels and cultures.
• Familiarity with Agile methodologies and project management tools
