Job Description
GENERAL PURPOSE

The Data Analyst 2 -- Program Centralized Data (PCD) position is responsible for inputting data through the use of a personal computer into various software packages, keying in all data pertaining to the Department of Human Services, and verifying the accuracy of previously processed work.

SUPERVISION

This position reports to Administrative Office II in the PCD Division. This position is not responsible for the supervision of other employees.

ESSENTIAL DUTIES OF THE POSITION
  • Understanding and completing moderate to complex system procedures and documents. The work must be done in a timely and efficient manner to comply with state reporting requirements.
  • Works as a member of a team to maintain and process information/data into the Department of Human Services Management Information System (CareTracker), HCSIS, CAPS, SAMS and the DHS payroll system (KRONOS). However, each employee has specialized duties, which are determined by the needs of the categorical division to which you are assigned.
  • Operates a PC to enter data from various input documents. Documents include a variety of forms and reports received from DHS staff, contracted providers and other county offices. Input procedures are documented in assorted manuals located at each work site.
  • Verifies the accuracy of data to be input. Verifies data and prepares various Service Rendered Invoice documents for input. This is done by the computation and/or conversion of service units, verification of service codes, cost centers, and client numbers. This task requires close contact with DHS fiscal offices for the verification of contracted service.
  • Codes data or re-codes incorrect data as necessary.
  • Verifies the accuracy of processed work, computer reports, and other computer documents.
  • Acts as a troubleshooter and investigates data related and management information system problems.
  • Trains and assists departmental staff with on-line system query.
  • Participates in the training of and instructs departmental staff and other outside providers with report usage, system tables and form usage.
  • Assists Administrative Officer II with the responsibility for analyzing and coordinating computer related issues and data processing activities. Maintains a working relationship with other data processing personnel as well as other DHS staff.
  • Informs and assists employees of the changes and procedures within the computer system.
  • Maintains records, including the stamping, logging and filing of all data related documents which include reports, system tables and other input documents.
  • Verifies and distributes computer reports to all DHS office sites.
  • Extracts and organizes data from reports and the database for statistics and other surveys as required.
  • Assists MIS users with hardware related problems.
  • Orders and maintains supplies.
  • Performance evaluations include a review of the accuracy and speed with which assignments are completed.
  • Filing, copying, scanning, and other miscellaneous duties may be required as time permits.

REQUIRED MINIMUM QUALIFICATIONS
EDUCATION & EXPERIENCE

Three (3) years of progressively responsible experience in the review, analysis, and control of computer processed data; OR any equivalent combination of experience and training. Appropriate post high school education may be substituted for experience on a year-for-year basis.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Knowledge of the practices and procedures of computer data control.
  • Knowledge of methods and techniques of data batching, computer input preparation, and computer output review.
  • Ability to read and interpret input forms and computer printouts.
  • Ability to maintain accurate log and control records.
  • Ability to communicate effectively both verbally and in writing.
TOOLS AND EQUIPMENT
  • Telephone, personal computer (including word processing and spreadsheet software), calculator, writing implements, fax machine, copy machine, and paper shredder.
