A leading pharmaceutical company in Dubai is looking for a candidate to manage tender processes and maintain quality management systems. The ideal applicant has a Bachelor’s degree in Pharmaceutical/Biomedical fields, 2-3 years of experience, and is fluent in English, with Arabic being an advantage. Strong organizational, communication skills, and proficiency in MS Office are required. The role involves preparing quotations, managing client relationships, and ensuring timely supply of awarded items.

Qualifications

  • Minimum of a Bachelor’s Degree in Pharmaceutical / Biomedical from a recognised University / Institution.
  • 2-3 years’ experience in tender / Governmental / institutional businesses.

Responsibilities

  • Maintain a quality management system according to international standards.
  • Prepare and submit tenders for governmental and private sector opportunities.
  • Coordinate with Supply & Demand team for on-time stock supply.

Establishing, documenting, implementing and maintaining a quality management system and continually improve its effectiveness in accordance of the International Standard.

Following up tender business (receiving tenders, preparing quotations, and submitting), supply awarded items on-time and ensure collecting due receivables.

Tender Management
  • Ensure on-time receiving tenders (Governmental & private sector) and forwarding to concerned division (Pharma, Consumer, Medical & Veterinary).
  • Assist in preparing quotations with joint working arrangement with concerned division and Finance Department to ensure submitting offers on-time.
  • Prepare Tenders / costing policies and produce a work plan.
  • Understand the tender process and timeline across the market and develop a time schedule plan to meet the relevant milestones on time.
  • Negotiate tenders and direct purchasing opportunities with government organizations.
  • Coordination, management and duly submission of tender bids by the corresponding institution.
  • Communicate effectively with the Clients during tendering process.
  • Ensure quality and accuracy of tender process and submissions and address all tender clarifications efficiently and within the allocated time.
  • Participate in tender and contract negotiation meetings, and summaries discussions.
  • Follow up with clients after tender submissions.
  • Creation of a data base for pre-qualifications, tenders, clarifications, and results.
  • Assist Business Line Managers by seeking and evaluating relevant opportunities.
  • Prepare monthly managerial reports based on the data base.
  • General administrative support.
Others
  • Coordinate with Supply & Demand team for the stock build for timely supply.
  • Relationship Management with key institutional customers and governmental representatives.
  • Follow up the supply of awarded items and keep monitoring / tracking delivery of all pending L.P.Os.
  • Ensure collecting due receivables for tender business.
Qualifications
  • Minimum of a Bachelor’s Degree in Pharmaceutical / Biomedical from a recognised University / Institution.
Skills & Professional Requirements
  • Language skills – Should be fluent in English and Arabic (advantage)
  • Proficient in MS Office esp. Excel, Power Point and Word
Experience Requirements
  • 2 -3 years’ experience in tender / Governmental / institutional businesses.
