Job Description
Answers the telephone, directs inquiries to the proper person, and provides knowledgeable information about the availability of rooms and function spaces at the hotel.
- Coordinates and follows up with internal departments.
- Prepares correspondence on behalf of the Director of Sales.
- Ensures all correspondence is systematically filed.
- Attends meetings, records and distributes minutes, and follows up on action items as requested.
- Maintains a contact database for the Sales and Marketing team.
- Uses a diary or to-do list for daily tasks.
- Checks and acts on trace files daily.
- Handles telephone calls according to hotel standards, takes messages, and informs relevant guests.
- Prepares, proofreads, and distributes outgoing correspondence to high standards.
- Prepares letters, memos, and other documents for the Director of Sales.
- Establishes a filing system for relevant documents.
- Creates and maintains a commercial database, updating it regularly.
- Updates guest database regularly.
- Implements daily follow-up procedures.
- Performs other duties as assigned by the Department Head.
- Familiarizes with hotel emergency procedures and remains prepared for emergencies.
- Maintains a monthly overview of staff vacation and holiday balances, reporting to HR.
- Familiar with company documentation and operational standards manual.
- Participates in task force teams for new openings.
- Performs any other reasonable tasks as requested.
Qualifications
High school diploma required.
