About the Job
Operational
- Assist HSE Manager in developing & implementing Sarood Hospitality Health, Safety and Environment Management System within SBU, producing appropriate report as required for Senior Management (G&c HSE Management & Business unit management)
- Assist HSE Manager in implementing HSE Policy, Procedures & Guidelines for SBU, through daily, weekly and monthly audits in the property
- Monitor and assess performance and compliance to Sarood HSE MS and produce appropriate reports for the departments
- Review standard health and safety documentation in line with Sarood HSE MS as required
- Work with the HSE Champions in the departments to assist & guide them in producing their reports
Handle issues with external contractors
- Make requests for service as required in respect of contractors providing services for consultancy, e.g., third party auditing, laboratory analysis
- Monitor contracts / service schedules, follow up & provide feedback to ‘clients’ as well as actioning contractor’s reports, etc. & communicate as appropriate to colleagues
Administration
- Take minutes of meetings and drafting necessary documents for distribution
- Prepare and process all staff related Expenses and Time reports and other staff related issues
- Acts as a first point of contact for HSE manager/representatives as required
- Handle the details associated with HSE conferences, meetings etc.
- Process HSE reports as required
- Ensure adequate filing system for the department
- Coordinate the training and development program for the Group HSE staff
- Send and process the department customer satisfaction survey as required
- Control all HSE Generic standard forms in public folders adhering to document control procedures
- Communicate new or amended procedures to relevant departments/colleagues in a timely manner
- Ensure all documents, records, reports, publications, etc. are professionally organized & maintained
- Ensure up to date list of all files is produced & maintained, including title & file identification alphanumerical code
- Provide other administrative support & assist in other section tasks as directed
- Draft and review of appropriate contracts and progress to approval
- Schedule and arrange to purchase approved Capex items, budgeted items, including equipment
- Obtain quotes for the purchase of items & services with Purchasing & produce purchase requests
- Follow through outstanding PRs & POs & take action as necessary to progress them
Internal Communications – SharePoint
- Create and maintain appropriate documentation for both departments on the Document Management System (DMS)
- Create, develop, and maintain Group HSE Team site on SharePoint, ensure all information (dashboard data) is correct and up to date.
- Ad hoc tasks, projects and reasonable request made by the Executive team
About You
The ideal candidate for this position will have the following experience and qualifications:
- Minimum 3 years’ experience in HSE field, preferably in hospitality sector
- Must possess a good knowledge of local and international legislation, standards, and best practices
- Demonstrates a good understanding of food hygiene
- Certificate in Occupational Safety and Health or Environment
- University Graduate
- Valid UAE Driving License
