Reports to: Chief Executive Officer

About the Role

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide dedicated support to Chief Executive Officer with his business, personal and family affairs. The candidate must be creative, professional and proactive. Essential to ensure efficiency and balance, managing both professional and personal responsibilities to optimize the CEO’s time and productivity. The ideal candidate must also be a clear communicator, and thrives in a dynamic, fast-paced environment.

Key Responsibilities
  • Manage complex calendars, schedule appointments, and coordinate meetings across diverse time zones.
  • Arrange detailed travel itineraries, including flights, accommodations, land transportation, and visas.
  • CEO’s email management, filter priorities, and draft responses whenever applicable.
  • Act as a gatekeeper and liaison, professionally managing communication with key contacts.
  • Manage personal appointments, family schedules, and household-related matters.
  • Coordinate with household staff, vendors, and service providers (e.g., DEWA, phone bills and maintenance repairs).
  • Plan personal events, dinners, and family gatherings.
  • Make reservations for dining, entertainment, and personal services.
  • Conduct research and handle errands as needed (e.g., gift purchasing, personal projects).
  • Anticipate needs and solve problems proactively before they arise.
  • Manage household supplies.
  • Maintain strict confidentiality regarding all business, personal, and family matters.

  • Single and presentable, to offer flexibility with time commitments and the CEO’s volatile schedule
  • Organizational Mastery: Exceptional time-management and multitasking skills with meticulous attention to detail.
  • Ability to bring great network and arrange respective business meetings for the CEO.
  • Communication: Excellent verbal and written communication skills. Professional and polished in all interactions.
  • Tech Savvy: High proficiency with Google Workspace, Microsoft Office Suite, calendaring apps, and comfort learning new software.
  • Proactive Mindset: A self-starter who anticipates needs, takes initiative, and operates effectively without constant supervision.
  • Adaptability: Can work under pressure, flexible to handle changing priorities, and availability for occasional after-hours support if required.
