Job Title: Operations & Sales Coordinator

Job Summary
The Operations & Sales Coordinator is responsible for managing end‑to‑end sales order processing, coordination with customers, warehouse, logistics, and finance teams, inventory control, reporting, and operational support. The role ensures smooth execution of sales, accurate stock management, timely deliveries, and efficient coordination across internal and external stakeholders.
Key Responsibilities
Sales & Order Processing
- Process sales orders and purchase orders (POs) accurately and timely
- Handle order processing with key principals (e.g., Froneri)
- Follow up with customers on order status, deliveries, and confirmations.
- Prepare customer contracts and support sales agreements
- Coordinate with clients regarding sales, stock availability, and delivery schedules
- Manage own retail store coordination and shop sales activities
Invoicing, Documentation & Compliance
- Prepare invoices, packing lists, and related documentation for all inbound shipments
- Scan signed invoices and maintain proper digital records
- Prepare gate passes for JAFZA entry and movement of goods
- Coordinate customs clearance activities with clearing agents
- Maintain delivery summaries and documentation
Payments & Finance Coordination
- Coordinate payment collection from customers
- Follow up on outstanding payments and customer accounts
- Handle petty cash transactions and maintain records
Inventory, Warehouse & Logistics Coordination
- Coordinate with warehouse teams for stock movement and dispatch
- Perform valuation and reconciliation of system stock with warehouse records
- Conduct Sage stock valuation with logistics partners (e.g., Mohebi)
- Support stock forecasting and replenishment planning
- Participate in stock audits and inventory verification
- Prepare IBT (Inter-Branch Transfer) reports
Skills & Competencies
- Strong coordination and multitasking abilities
- Excellent communication and follow‑up skills
- High attention to detail in documentation and reporting
- Proficiency in MS Excel, ERP/Sage systems, and online platforms
- Ability to work efficiently in a fast‑paced FMCG environment
Qualifications & Experience
- Bachelor’s degree in Commerce, Business Administration, or related field
- 2–5 years of experience in sales coordination or operations (FMCG preferred)
- Experience working with warehouses, logistics providers, and distributors
