Job description

The job holder will provide administrative support to the broad Employee Services activities within the HR function to enable an efficient employee lifecycle.

KEY RESPONSIBILITIES:
Employee Engagement Initiatives
  • Provide support to the Employee Engagement initiatives by co-implementing the DFSA Employee Engagement plan and provide appropriate internal and external support.
  • Administer the initiatives, including liaising with vendors, communicating/designing initiatives to staff and raising necessary Purchase Requisitions.
  • Manage relationships with stakeholders, departments such as corporate communications, and external providers.
  • Measure and evaluate initiatives, by receiving appropriate feedback and present findings.
Talent Management Support
  • Assist with the recruitment process including liaising with recruitment agencies, scheduling interviews, coordinating induction programmes, and ensuring records for potential candidates are updated and maintained including obtaining references/documentation/service letters etc.
  • Administer and assist with the new starter process by coordinating relocation plans, organising travel and accommodation requirements, and liaising with external suppliers on relocation assistance for employees.
  • Creation of physical files for all new joiners and ensuring all documentation is saved accordingly in electronic and physical format.
Wellbeing
  • Co-implement the DFSA wellbeing plan with the DFSA wellness vendor, who provides wellbeing information sessions, by communicating these sessions to staff.
  • Provide admin support to any external events/speakers taking place at the DFSA.
  • Measure and evaluate the employee wellbeing sessions.
Administration Support
  • Assist with the process of administrative requests and queries, including but not limited to employment / salary letters etc. to ensure that employee needs are addressed and responded to in a timely manner.
  • Provide support for specific Employee Services tasks and HR projects, as and when required and within specified deadlines.
  • Undertake GPSSA process for UAE National employees enrolling or exiting the DFSA.
  • Undertake other administrative tasks as and when required and carry out other duties considered appropriate by the Manager, Recruitment & ER and Head of Human Resources.
Masaar Programme
  • Contribute to Masaar Program by providing HR input and support where required.
Policies, Systems, Processes & Procedures
  • Assist with departmental policies, systems, and procedure so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service.
  • Provide support in updating the internal DFSA policies (DFSA Employee Manual).
  • Operating within the first line of defence, you will share responsibility for ongoing risk management while promoting a strong risk culture within the division and across the organisation in line with the DFSA Risk Management Framework.
QUALIFICATIONS, EXPERIENCE, & SKILLS:
Eligibility Criteria
  • Diploma or bachelor’s degree
  • Relevant HR course, preferable.
Minimum Experience
  • 3 years’ experience of HR administrative related activities
  • Fresh graduates, will also be considered, coming from a HR academic background, willing to train/learn on the job.
  • Current experience and high capability in Word, PowerPoint, Outlook.
