Executive Secretary to SVP – Human Resources

Are you an exceptionally organized and proactive professional looking to support senior leadership in a fast‑paced, high‑impact environment? Emirates Flight Catering (EKFC) is seeking an Executive Secretary to provide advanced administrative and executive support to our SVP – Human Resources.

This is a key role for someone who thrives on managing complexity, maintaining confidentiality, and enabling effective decision‑making at the highest levels of the organization.

Key Responsibilities
  • Efficiently manage the SVP’s agenda, prioritize complex and time‑sensitive matters, and ensure timely availability of essential reports and documents.
  • Conduct daily briefings, review documents for approval, track ongoing activities, and follow up on outstanding actions.
  • Arrange meetings, appointments, travel, and visits, ensuring optimal use of the SVP’s time.
  • Serve as the primary point of contact for the SVP’s office—handling calls, visitors, emails, and correspondence with professionalism and discretion.
  • Prepare high‑quality documents, reports, and presentations; record meeting minutes and follow up with internal and external stakeholders.
  • Support special projects through research, data gathering, and coordination across departments.
  • Compile departmental reports and assist with budget‑related information.
  • Manage administrative processes including purchase requisitions, attendance and leave records, overtime claims, petty cash, and invoicing.

Education

Experience
  • At least 5 years supporting senior leaders, VVIP offices, or high‑level executives
  • Experience in Aviation, Airlines, Travel, or FMCG is a plus
Skills & Attributes
  • Excellent communication skills, both written and verbal in English
  • Comfortable working with multiple stakeholders in a large, diverse organization
  • Highly proactive, resourceful, and able to anticipate what needs to be done
  • Strong planner and organiser with the ability to manage several priorities at once
  • Tech‑savvy with good computer skills and an eye for detail
