Job summary

A leading company in real estate management is seeking an organized individual to manage client CRM data and ensure all details are accurate and up to date. Responsibilities include tracking client files, coordinating required documentation, and preparing detailed reports for management. Job description
Responsibilities
  • CRM Data Management - Enter and update client details, lead statuses, notes, and follow-up information.
  • Ensure all data in the CRM system is accurate, complete, and follows company standards.
  • Track each client’s progress from first contact to finalization.
  • File Tracking & Status Updates - Monitor all active client files and update their status (booking, documents received, SPA pending, etc.).
  • Ensure the Direct Sales team and Broker Relations team update CRM entries correctly.
  • Flag errors, missing information, or duplicates for correction.
  • Documentation Coordination - Verify that all required client documents are submitted before handover to Sales Support.
  • Check that documents received from Sales or Brokers match CRM records.
  • Ensure all scanned and digital documents are correctly uploaded to the system.
  • Internal Communication - Share updated file statuses with Direct Sales Manager or Broker Relations Manager when required.
  • Coordinate with Sales Support regarding contracts, SPAs, and pending documents.
  • Notify sales teams about expired documents or incomplete items.
  • Reporting - Prepare daily and weekly reports on bookings, cancellations, pending documents, SPA progress, and status changes.
  • Maintain dashboards and trackers for management review.
