Core Duties and Responsibilities
Dispatch Coordination
- Prepare daily dispatch schedules based on confirmed work orders, and transport availability. Coordinate with the warehouse team to ensure accurate picking, labelling, and loading of items. Review picklists and verify that all dispatch items match the work order documentation.
Distribution Tracking & Control
- Monitor live deliveries using GPS tools, dispatch logs, and field confirmations. Track dispatch times, delivery statuses, and return flows to maintain full visibility of asset movement. Maintain accurate logs for each dispatch operation, including proof of delivery (POD) and issue reports.
Team Support & Communication
- Act as a liaison between drivers, warehouse crew, warehouse, and event site teams to ensure smooth coordination. Communicate any changes in delivery priorities, delays, or urgent assignments in real time. Support the crew in handling and organizing items to reduce damage or misplacement.
Disposal of Asset & Warranties
- Identify slow and non-moving equipment that can be discarded as per DWTC Disposal policy. Asset retirement to be made in the system after the approval from the management for the items which are damaged or discontinued. Asset transfer to be made in the system if there is any asset are for interdepartmental transfer.
- Conduct physical verification of equipment on receipt and distribution, by calling VARP and concerned technicians. Conduct the disposal based on retirement policy. Control and maintain the tracker of equipment warranty in the inventory.
Reporting & Recordkeeping
- Generate daily and weekly dispatch reports, including delivery completion, returns, and exceptions. Maintain a clean and organized digital filing system for dispatch records and delivery notes. Escalate any repeated issues such as delays, damaged goods, or route inefficiencies.
Event Service General Management (Warehouse operation & maintain)
- Safeguard warehouse operations and contents by establishing and monitoring security procedures and protocols. Maintain locations for all the equipment and maintain in the system.
RFID Asset Tracking System
Follow DXB live Policies and procedures for issuing equipment from the warehouse. Equipment should be issued from the warehouse against CRM work order and a pick list. All the equipment should be issued and return by scan the equipment through RFID gate and it should be followed strictly.
- All equipment should be inspected thoroughly by count and quality while return it to the store and reconcile with the workorder Picklist. Additionally, monitor the tags remains securely existing on the equipment, if not an immediate replacement is required.
IA
- Respond to Internal Auditor’s queries. Act as the primary contact for internal auditors and addressing their questions and providing necessary reports/ information. Organize and maintain relevant documents and records for audit purposes.
- Other duties and assigned by line manager as and when it is required.
Operating Environment
- Based on the event duration and urgency, the working hours may be increased based on the requirement from the Technical Production team.
- Physical location of the workstation will be DWTC office or any other related office.
Formal Qualification
- Diploma or certification in Logistics, Supply Chain, or Business Administration.
Work Experience
- Minimum 1–3 years of experience in dispatch, logistics, or coordination roles. Proficiency in Microsoft Excel, Word, and basic logistics/dispatch software. Familiarity with UAE roads, logistics processes, and event site protocols. Strong communication skills in English (Arabic is a plus).
